As a Timetabling and Room Booking Administrator, your role involves delivering high-quality customer service and administrative assistance for room reservations and scheduling. You will manage a variety of queries, which includes booking facilities, drafting email or written correspondence, and collaborating with colleagues to ensure effective resolution.
Based within the Student Education & Experience (SEE) department, this position is a key part of the Timetabling and Room Bookings team. The team focus is on creating and managing personalised student schedules to optimise the student experience and the effective utilisation of campus teaching facilities.
In this role, you will work flexibly as a core member of the Timetabling and Room Bookings team. Your primary focus will be to provide comprehensive administrative support, ensuring that scheduling processes run smoothly and efficiently.
You will be responsible for delivering exceptional customer service, managing a wide range of requests related to both timetabling and general room bookings. This involves acting as a key point of contact for users, addressing their needs with professionalism and care.
A significant part of your duties will include managing various enquiries. This requires composing detailed and accurate replies via email or formal letter to ensure clear communication with all stakeholders.
To resolve issues effectively, you will be expected to refer and liaise with appropriate staff across the department. By collaborating closely with colleagues, you will ensure that all scheduling and booking requirements are met in a timely manner, contributing to the overall student education and experience.
Key requirements for a Grade 3 Timetabling and Room Booking Administrator include a good understanding of the academic and geographical structure of the University of York, knowledge of higher education timetabling, and an understanding of undergraduate and postgraduate course structures.
Applicants should possess a Level 2 qualification (such as five GCSEs at grade A*-C/4-9) or equivalent professional experience. Essential skills involve accurate data recording, proficiency in digital technologies like Google applications or Microsoft Office, effective communication, and the ability to assist others in organizing activities. Additionally, the role demands specific professional behaviours, such as collaborative working, delivering quality service, and actively championing equality and diversity.
