About CCR Maintenance
CCR Maintenance is an established building maintenance and specialist cleaning company. We work with commercial landlords, facilities managers, asset managers, construction companies and property professionals throughout Wales and England.
Our services include high rise window cleaning, building maintenance, façade cleaning, DOFF steam cleaning, restoration work and specialist access services.
We are looking for an organised, reliable and confident Office and Operations Administrator to support the daily running of our office and coordinate work with our site teams.
The Role
This is a busy and varied position involving customer service, appointment booking, job scheduling, invoicing, form completion and general office administration.
You will also communicate regularly with our operatives and supervisors, ensuring they receive clear instructions, job information and any updates required throughout the working day.
The successful applicant must be comfortable managing several tasks at once and dealing confidently with customers, managers and site operatives.
Main Responsibilities
- Answer incoming telephone calls and respond to emails
- Book appointments, surveys and site visits
- Schedule jobs for operatives and supervisors
- Issue clear daily job instructions to site teams
- Inform operatives of addresses, access arrangements and customer requirements
- Update schedules when appointments or site arrangements change
- Communicate with customers regarding appointments and work progress
- Prepare and send customer invoices
- Update customer, quotation and job information within our CRM system
- Complete online forms, questionnaires and customer portals
- Prepare documents, spreadsheets and general correspondence
- Upload job photographs, reports, checklists and completed paperwork
- Follow up outstanding quotations and customer enquiries
- Maintain accurate electronic and paper records
- Assist managers with general office and operational administration
- Help resolve routine scheduling and site communication issues
Essential Skills and Experience
Applicants must:
- Be confident and computer literate
- Have good Microsoft Office skills, particularly Word, Excel and Outlook
- Have experience using CRM, scheduling or job management systems
- Be comfortable preparing invoices and maintaining accurate financial records
- Have good written and verbal communication skills
- Be confident giving clear instructions to operatives and supervisors
- Be organised and able to prioritise a busy workload
- Have excellent attention to detail
- Be reliable, punctual and professional
- Have a positive and practical attitude
- Be confident speaking with customers on the telephone
- Be able to work independently while supporting the wider team
Previous experience within office administration, construction, facilities management, maintenance, cleaning or field service scheduling would be beneficial.
Training will be provided on our company procedures and systems.
