THE ROLE
The Technical Coordinator plays a pivotal role within the Technical Department, ensuring the smooth administration of customer quotations, data management, and supplier communication. Acting as a central point of coordination between customers, suppliers, and internal teams, the role is responsible for maintaining accurate records, supporting operational efficiency, and helping deliver an outstanding customer experience.
GENERAL RESPONSIBILITIES
· Create, process, and administer customer quotations accurately and within agreed timescales.
· Update and maintain internal systems, databases, and CRM records.
· Ensure customer, supplier data is accurate, current, and compliant with company procedures.
· Review and amend records, documentation, and system information as required.
· Monitor outstanding actions and ensure work is progressed in a timely manner.
· Answer incoming calls and respond to customer enquiries professionally and efficiently.
- Liaise with suppliers regarding pricing, availability, technical information, and quote updates.
- Build strong working relationships with customers, suppliers, and colleagues.
- Ensure clear and timely communication between all stakeholders.
- Escalate issues where necessary to ensure prompt resolution.
- Work collaboratively across departments to ensure seamless service delivery.
- Champion a customer first approach, ensuring every interaction contributes to a positive customer experience.
- Identify opportunities to improve processes, communication, and customer satisfaction.
KEY COMPETENCIES
- Previous experience in an administration, coordination, or technical support role.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Confident telephone manner and excellent communication skills.
- Experience using CRM (HubSpot, or Oodo), Sage, & Quotewerks (desired but not essential).
- Strong IT skills, including Microsoft Office 365 (Excel, Outlook, Word, and Teams).
- Ability to prioritise workload and manage multiple tasks effectively
Desirable
- Experience within a technical, engineering, manufacturing, facilities management, or ventilation environment.
- Experience preparing quotations and managing supplier communications.
