Job Overview
We are seeking a detail-oriented and proactive Administrator to join our team. The successful candidate will play a vital role in ensuring the smooth operation of our office by managing administrative tasks and supporting various departments. This position requires strong organisational skills, attention to detail, and a commitment to quality assurance.
Duties
- Front of house including answering phones and greeting visitors
- Communicate with tenants and arrange repairs where needed
- Monitor property compliance and rearrange inspections & testing where required. Recommend repair & improvement works in line with outcomes.
- Assist SHE Manager with production, monitoring, and management of documentation
- Manage Training Matrix to ensure compliance and identify expiry/renewal requirements. Arrange, book & manage any training requirements
- Monitor and arrange performance reviews with company team.
- Monitor & Record all Targeted Recruitment & Training, including completing WAG toolkits (Welsh Assembly Government) for issue to client.
- Liaise with clients’ Social Value representative to agree community requirements and assistance.
- Assist with recruitment, advertising and arranging interviews. Issuing job offers and ensuring new starter documentation is compiled correctly.
- Maintain confidentiality and data protection standards in handling sensitive SHE information.
- Vehicle management including repairs, fuel & tracker monitoring. Monitor alongside carbon cutting measurements.
- Assist team where required with data entry and purchase ledger management.
Experience
- Proven experience in an administrative role, ideally within construction or a related industry (but not necessary)
- Strong organisational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications
- Excellent written and verbal communication skills with a keen eye for detail
