Overview
We are seeking a proactive and detail-oriented Secretary to Trustees to join our organization. In this vital role, you will serve as the primary administrative support for the trustees, ensuring smooth communication, efficient scheduling, and comprehensive documentation. Responsibilitie
- Prepare, review, and distribute agendas, reports, and minutes for trustee meetings, ensuring accuracy and timely delivery.
- Draft detailed reports, correspondence, and analysis documents using Microsoft Word and Excel to support decision-making processes.
- Maintain comprehensive records of meetings, decisions, and organizational documentation with meticulous attention to detail.
- Facilitate communication between trustees, staff, stakeholders, and external partners through professional correspondence and customer service excellence.
- Assist in financial planning activities by analyzing financial reports and preparing summaries to support trustees’ oversight responsibilities.
- Utilize IT tools such as Microsoft Outlook for scheduling and email management while ensuring data security and confidentiality.
Qualifications
- Proven administrative experience with strong organizational skills and excellent time management abilities.
- Proficiency in Microsoft Office Suite including Word, Excel, Outlook, with the ability to produce professional reports and presentations.
- Exceptional communication skills—both written and verbal—to effectively liaise with diverse stakeholders.
- Experience in report writing, analysis skills, and familiarity with financial services or financial planning is highly desirable.
- Strong IT skills with the ability to adapt quickly to new software or systems used within the organization.
- Demonstrated customer service orientation with a professional demeanor at all times.
- Ability to handle multiple tasks efficiently while maintaining accuracy under tight deadlines.
