Job Overview
Responsible for day-to-day operational follow-up and supply chain data maintenance for a vehicle (RoRo) logistics port project, covering vessel agency, vehicle storage, and vehicle handling/PDI workstreams. Ensures operations proceed according to plan, and that documentation and cost records remain accurate and traceable across the supply chain..
Responsibilities
1. Daily Operations Follow-up
- Track progress across vessel arrival, discharge, PDI, storage, and gate out/in stages; update operational status in a timely manner
- Collect and organize operational documents and cost statements provided by vendors
- Flag operational exceptions (delays, damage, documentation discrepancies) promptly and support resolution follow-up
2. Vendor Coordination (Operational Level)
- Maintain regular communication with vendor operations staff to confirm schedules, volumes, and documentation details
- Assist in collecting vendor quotations and rate updates, and pass these on to management for confirmation
- Handle day-to-day email/phone communication; not responsible for rate negotiation or commercial decisions
3. Supply Chain Management Support
- Help map connection points across the supply chain (vessel agency → storage → handling → inland transport) and identify process bottlenecks or delay risks
- Track storage/inventory turnover data; support basic analysis of throughput efficiency and cycle times
- Support collection of baseline vendor performance data (on-time rate, exception rate, etc.) for future vendor evaluation
- Help maintain supply chain SOP documentation to ensure standardized, repeatable processes
4. Project Management Support
- Help maintain project timelines/milestones; track task completion and follow up with relevant stakeholders
- Update project tracking sheets (task lists, risk registers), noting status and owners
- Assist in preparing periodic project reports (progress, cost, risk summaries)
- Participate in project meetings; take minutes and follow up on action items to closure
5. Data Management
- Maintain and update rate sheets and operations logs (e.g., Excel quotation trackers), ensuring accuracy and clear status tagging (confirmed / pending / disputed)
- Regularly reconcile invoices against contracts/quotations; flag discrepancies for management review
- Organize meeting minutes and email correspondence into a traceable project record
6. Internal Coordination Support
- Support management with periodic progress reporting and cost summary preparation
- Assist with scheduling vendor meetings and administrative document exchange
Requirements
- 1-3 years of experience in logistics, freight forwarding, port operations, or supply chain roles; recent graduates in relevant fields (Supply Chain Management, Logistics Management, Project Management, etc.) also considered
- Familiarity with basic logistics operations and supply chain concepts (inventory, turnover, SLAs, etc.)
- Basic project management awareness — able to independently maintain progress trackers and close out action items
- Proficient in Excel (basic tables, data reconciliation, simple pivot tables)
- Working proficiency in English (reading/writing), able to communicate via email with overseas vendors
- Detail-oriented, responsible, logical thinker, comfortable working across time zones
- Background in vehicle logistics (RoRo/PDI), port operations, or supply chain coordination preferred; PMP or supply chain certifications a plus but not required.
