About the Role
We are seeking a reliable, highly organised and discreet volunteer Personal Assistant to provide administrative support, dedicated to our Founding Trustee.
This is a trusted role for someone who can help manage a demanding daily workload, maintaining important relationships while ensuring essential communications and actions are handled promptly and accurately, particularly when the Founding Trustee is overseas.
Key responsibilities
· Monitor the multiple email inboxes.
· Filter emails and identify matters requiring urgent attention.
· Draft and where authorised, send responses in the Founding Trustee’s established tone and style.
· Take dictation and turn notes or verbal instructions into clear, professional emails, letters and other documents.
· Maintain an accurate database of actions, priorities, deadlines and follow-ups.
· Help manage correspondence and regular contact with major funders, supporters, carers and other key stakeholders.
· Arrange appointments, telephone calls and meetings where required.
· Follow up outstanding matters and ensure commitments are not overlooked.
About you
· An excellent written communicator with the ability to draft engaging correspondence.
· Highly organised, dependable and attentive to detail.
· Confident using email, CRM, Excel and Word
· Able to prioritise tasks and excel under pressure.
· Comfortable working independently and taking initiative within agreed boundaries.
· Sensitive and tactful when communicating with funders, carers and other stakeholders.
· Trustworthy and committed to maintaining confidentiality.
Previous experience as a Personal Assistant, Executive Assistant, administrator, secretary or similar support role would be helpful, although the right attitude, judgement and communication skills are equally important.
Location and commitment
The role is based primarily at the home of the Founding Trustee - Lymington, with an occasional requirement to. Work from the office.
We are looking for a minimum commitment of 3 hours per week, with some flexibility during busy periods.
Confidentiality and safeguarding
This position will involve access to confidential and potentially sensitive information. The successful volunteer must follow the organisation’s confidentiality, data-protection and safeguarding procedures at all times. References and appropriate background checks will be required before the role begins.
