About the Role
We are looking for a proactive and organised Production & Agency Coordinator (which we call a Shift Support) to support the effective management of agency colleagues on site. This role is key in ensuring compliance with company standards, health & safety regulations, and operational efficiency while maintaining strong relationships with agency suppliers and internal teams.
You will play a critical role in onboarding, training coordination, workforce planning, and ensuring all documentation and processes are audit-ready.
Key ResponsibilitiesAgency Management & Coordination
- Organise and oversee agency colleagues, ensuring adherence to company procedures, food safety standards, and health & safety requirements
- Manage onboarding of new agency colleagues, including site inductions and training processes
- Act as the key liaison between the agency supplier and the business, resolving issues and managing staffing requirements
- Monitor attendance, manage absences, and coordinate replacement staffing with agencies
- Ensure correct labour levels are supplied to meet operational needs
- Plan and confirm workforce requirements with Production Managers and agency partners
Induction & Training
Deliver site inductions covering:
- Site security
- Health & safety
- Welfare facilities (canteen, toilets)
- Fire exits and assembly points
- Ensure all agency colleagues are trained against SOPs and OPLs for their roles
- Support training delivery, including translation where required
- Maintain and update individual training logs
- Work with shift leadership to identify and address training needs
- Assist in the creation of OPLs under guidance from Training and Shift Leaders
Administration & Compliance
- Ensure all timesheets are accurately completed, authorised, and submitted to agencies
- Maintain up-to-date and audit-ready documentation
- Input and manage data relating to staffing, production, and performance
- Highlight discrepancies or concerns in daily reporting data
- Ensure all records are accurate, complete, and compliant
Operational Support
- Communicate daily operational plans clearly to the team
- Input and monitor shift performance data, flagging any anomalies
- Conduct machine audits and ensure timely completion of corrective actions
- Support continuous improvement initiatives to enhance efficiency
About You
- Strong organisational and coordination skills
- Excellent communication skills, with the ability to engage diverse teams
- Experience in a production, food manufacturing, or agency coordination environment (preferred)
- Good attention to detail and administration accuracy
- Ability to manage multiple priorities in a fast-paced environment
- Knowledge of health & safety and compliance standards
