Hub Coordinator - £14 per hour
We are looking for 2 Hub Coordinators with a passion for working for a community charity. These are job share roles 20 hours a week.
Position 1 – Monday to Friday - 9:30am to 1:30pm (Maternity cover until June 2027)
Position 2 – Monday to Friday - 12:00pm to 4:00pm (Permanent)
The role would be focusing on the strategic and administrative functions of the association, including governance, compliance, funding, income generation, marketing, health and safety, office systems, and the overall operational management of the organisation. This will also include the management of the day-to-day activities within the hub.
This role would be responsible for volunteer coordination, food pantry administration, stock ordering, managing book shop internal stock management and external selling of excess stock (supported by volunteer team), supporting visitors, handling routine enquiries, and ensuring the smooth running of hub activities.
Dedicated support for the daily operational requirements of the hub and its volunteers.
Key Responsibilities
Communications & Marketing
· Manage the association's social media accounts.
· Promote events, activities, and community initiatives.
Office Administration & Operations
· Strong communication skills are required to deal with the general public and volunteer teams.
· Monitor and manage IT systems (documentation, spreadsheets).
· Manage email accounts and maintain inboxes.
· Ensure office systems, records, and documentation are organised and up to date.
Health, Safety & Compliance
· Oversee Health & Safety requirements and compliance.
· Review and update policies and procedures annually.
· Maintain Charity Commission records and submit annual returns and reports.
· Coordinate and manage annual audits.
· Arrange and monitor:
o Fire safety requirements
o PAT testing
o Emergency lighting inspections
o Insurance renewals
Room Hire & Income Generation
· Promote room hire opportunities.
· Manage bookings and ensure all paperwork is completed.
· Chase outstanding booking forms and documentation.
· Identify opportunities to maximise room hire income.
Funding & Grants
· Research and identify funding opportunities.
· Complete grant applications.
· Respond to requests for additional information.
· Complete grant monitoring and reporting requirements.
Events & Community Engagement
Support the planning and delivery of key community events, including:
· Portchester Gala
· Christmas Lights Event
Supporting the Trustees
As a community charity there will be occasional activities, which may require your time on a voluntary basis. These will include but may not be exclusive to:
· Monthly trustees meetings.
· Working the day of the Gala.
· Working the evening of the Christmas Lights Event.
Pay: £13.00-£14.00 per hour
