Job Overview
We are seeking a dedicated Patient Administrator to join our healthcare team. The successful candidate will be responsible for managing patient records, scheduling appointments, and providing excellent administrative support to ensure smooth clinic operations. Duties
The role includes but is not limited to the following core responsibilities:
- Process and effectively signpost patients to the appropriate healthcare professional, depending on the presenting condition
- Answer incoming phone calls, transferring calls or dealing with the callers’ requests appropriately
- Process patient requests for appointments by phone, email, text and in person
- Provide flexible and responsive administrative support to the clinical team and Partners, acting on instructions and reasonable requests, managing delegated tasks and reporting to the Partners when required
- Enter read/SNOMED CT code data on EMIS
- Process all types of patient documentation as required
- Data entry of new and temporary registrations and relevant patient information as required
- Input data into the patients’ healthcare records as necessary
- Process SAR, insurance/solicitors’ letters and DVLA forms and other medical reports, ensuring payment taken where applicable, invoiced and recorded for finance team
- Processing patient referrals
- Manage all queries as necessary in an efficient manner
- Carry out system searches as requested
- Complete outbound patient calls generated by tasks, maintain recall systems to include but not limited to LES and DES services provided by the practice, monthly QoF and associated patient long term condition monitoring registers
- Monitor and maintain the reception area and noticeboards
- Support all clinical staff with general tasks as requested
- Contribute to public health campaigns (e.g., flu clinics) through advice or direct care
Qualifications
- Previous healthcare and office experience is preferred but no essential; training will be provided for the right candidate
- Excellent organisational skills with high attention to detail
- Strong communication skills, both written and verbal
- Proficiency in office software such as Microsoft Office or similar programmes
- Ability to work efficiently under pressure whilst maintaining professionalism
- Friendly demeanour with a focus on delivering outstanding patient service
