The role of Office Coordinator is an office-based role with minimal flexibility to work from home. The responsibilities of the post are as follows:
Support and coordinate the smooth running of our London office, ensuring all ISO quality processes relating to the facilities are maintained. Ensure all new starters' workspaces are ready.- Ensure the office is stocked with necessary essentials.
- Maintain records, resolve issues when identified, and complete new starter inductions.
- Be the first point of contact for all visitors, ensuring meeting rooms are prepared, refreshments are provided, and everyone feels warmly welcomed.
- Book travel arrangements, including trains and flights, for employees and contractors, ensuring all travel logistics are handled efficiently.
- Provide administrative support to the Executive Assistant, including taking meeting minutes when required, managing correspondence, and handling any other ad hoc admin tasks.
- Communicate effectively with internal and external stakeholders.
- Answer incoming PGI calls and handle enquiries appropriately, ensuring timely and effective resolution.
- Demonstrable experience in office/facilities management.
- Proactive problem-solving abilities and the capacity to multi-task.
- Excellent time management and the ability to prioritise tasks effectively.
- A ‘no job too small’ attitude!
- A friendly and welcoming personality with the ability to work well with others.
- Strong working knowledge of MS Office.
- The ability to remain calm under pressure while managing a diverse workload.
- Experience in taking meeting minutes (essential).
- Exceptional communication skills, particularly in writing clear and professional emails.
- Strong organisational and administrative skills.
- Demonstrable experience in office/facilities management
- An ability to find solutions, be proactive and the ability to multi-task.
- Time management and ability to prioritise
- Have a ‘no job’ to small attitude!
- A friendly and welcoming personality, the ability to work well with others
