Overview
We are seeking a department administrator to support our fast‑paced, deadline‑driven Project Delivery Team with a wide range of administrative and support functions. This role ensures the team can focus on the delivery of critical projects whilst any incoming calls, admin-based requests and day-to-day routines are taken care of.

Key Responsibilities
- Manage all winner communications, including handling inbound winner calls.
- Providing a high standard of customer service throughout the prize fulfilment journey.
- Prepare, dispatch and track winner verification packs, ensuring all documentation is accurate.
- Receive and review completed winner packs, verifying supporting documentation and confirming eligibility in accordance with promotional terms and compliance requirements.
- Act as the primary point of contact for all consumer service enquiries, resolving queries efficiently while maintaining a positive customer experience.
- Investigate and resolve consumer issues by collaborating closely with internal teams, including Data and Project Management, to ensure timely and accurate resolutions.
- Work with internal systems to manage consumer records, update case information and maintain accurate audit trails.
- Prioritise and manage time-sensitive consumer and winner enquiries.
- Identify recurring consumer issues and escalate trends or system improvements to the relevant teams to enhance customer experience and operational efficiency.
- Ensure all consumer interactions and winner verification processes comply with promotional terms and conditions, data protection requirements and company procedures.
- Support the successful delivery of promotional campaigns by maintaining accurate records, monitoring outstanding cases and providing regular progress updates to internal and external teams.
- You will collate and distribute data in line with client requirements.
Skills & Experience
- You must have a minimum of 3 years proven experience in administrative role.
- Previous experience working in a fast-paced commercial business is essential.
- You must be confident and have experience in dealing with clients directly by phone and virtually.
- You must have the ability to quickly understand any given challenges and prioritise tasks effectively.
- You will have worked in a collaborative environment and enjoy working closely with colleagues and communicate effectively at all levels.
- You must be IT literate with previous experience using Microsoft Office and CRM or ERP/MRP systems.
