Overview
We are looking for a highly organised and detail-focused Commercial Administrator to support our growing operations across commercial, finance and project teams.
This role is ideal for someone who enjoys working with structured data, coordinating across departments and ensuring that project costs, applications, procurement and documentation are accurately tracked and controlled.
You will play a key role in improving visibility and consistency across projects, supporting the business as we continue to grow, without being responsible for commercial decision-making.
Key ResponsibilitiesCommercial & Project Support
- Assist with preparation and tracking of client and subcontractor applications
- Maintain variation trackers, including values, approvals and status
- Support preparation of variation quotations and commercial documentation
- Track deadlines for Pay Notices / Pay Less Notices
- Maintain accurate and organised commercial records
Job Costing & Financial Administration
- Input and maintain job costing data across projects
- Ensure costs are correctly allocated to project/job codes
- Support reporting on committed costs, WIP and project spend
- Identify and chase missing or incomplete cost information
Procurement & Supply Chain Coordination
- Raise purchase orders and subcontractor orders (as authorised)
- Coordinate material orders and track deliveries and shortages
- Liaise with suppliers on pricing, availability and delivery
- Support resolution of invoice queries and discrepancies
Pre-Construction & Estimating Support
- Issue enquiries to suppliers/subcontractors and chase returns
- Assist with the collation and organisation of historic project cost data and supplier pricing records to support future pricing activities
Maintenance & Reactive Works
- Administer and track reactive and FM works
- Coordinate subcontractor attendance where no DES team is present
- Schedule visits and ensure completion documentation is captured
Compliance & Business Support
- Assist with PQQs and accreditation submissions
- Maintain up-to-date company and supply chain information
- Support document collation for audits and client requirements
About You
We’re looking for someone who is:
- Highly organised with strong attention to detail
- Comfortable managing multiple tasks, trackers and deadlines
- Confident liaising with suppliers, subcontractors and internal teams
- Proactive in chasing information and closing gaps
- Commercially aware, with a practical, problem-solving mindset
Experience & SkillsEssential
- Experience in an administration, finance, procurement or project support role
- Good understanding of purchase orders, invoicing or cost tracking
- Strong Excel and general IT skills
- Excellent organisation and communication skills
Desirable
- Experience in construction, engineering, FM or renewable energy
- Exposure to job costing, subcontractor processes or variations
- Experience using systems such as SimPro, Xero or similar
