We specialise in Wills, Lasting Powers of Attorney, Trusts, and estate planning, delivered through a structured, technology-driven process. Unlike traditional solicitor firms, we operate using modern systems and clear workflows, allowing our team to focus on accuracy, efficiency, and client service rather than outdated processes.
About the Role
This is a junior administrative role with a particular focus on post-completion work, ensuring completed client matters are accurately processed, recorded and progressed through the final stages.
You will be responsible for preparing documentation, managing client information, liaising with third parties, and ensuring all matters progress smoothly through our systems. The role is highly process-driven and requires strong attention to detail, accuracy, and confidence handling sensitive information.
We operate in a CRM-led environment, so you must be comfortable working digitally and following structured workflows rather than traditional paper-based processes.
What You'll Do
· Manage post-completion administration for Wills, LPAs and Trusts
· Receive, check, upload and accurately log signed client documents
· Check completed LPAs for signatures, dates and other requirements before submission to the Office of the Public Guardian (OPG)
· Prepare and submit LPAs to the OPG and keep client records updated
· Check completed Wills and arrange secure storage, ensuring all storage details are correctly recorded
· Liaise with life insurance providers to confirm policies have been written into Trust and chase outstanding confirmations
· Obtain title documents and information from HM Land Registry where required
· Maintain accurate and complete client files within Zoho CRM, including documents, notes, tasks and case updates
· Send routine client and third-party correspondence and respond to administrative queries
· Identify missing information, incorrectly completed documents or anything unusual and escalate where necessary
· Support the wider administration team with other stages of the client journey as required
· Work closely with the wider operations team to ensure client matters are progressed and completed efficiently
Who We're Looking For
· Previous experience in legal administration, conveyancing, probate, Wills or another professional services environment would be advantageous, but not essential
· Strong administrative and organisational skills
· High attention to detail and accuracy
· Comfortable working with CRM systems and digital processes
· Confident communicating with clients and third parties
· Able to manage multiple cases at once in a fast-paced environment
