About the Role
We are looking for an organised, reliable and proactive Office Administrator to join our engineering company and support the day-to-day running of our office.
The successful candidate will work closely with our existing Office Administrator and Directors. The main purpose of the role is to take responsibility for the day-to-day job and office administration, helping to reduce the workload of our current administrator and ensuring that jobs, paperwork and communication are kept up to date.
We would like you to be confident with the use of Excel, Word, Outlook and Xero. Have good attention to detail and be comfortable communicating with both customers and employees.
Main Responsibilities
Your duties will include, but are not limited to:
Job & Site Administration
- Retrieve and record weekly hours from Parim.
- Send job numbers and relevant information to employees working on site.
- Check that paperwork has been received when jobs are completed.
- Update the company's Excel job register and mark completed jobs as finished.
- Maintain and update the labour register.
- Prepare and send the labour calendar.
- Monitor and record staff lateness and absences.
- Ensure job records and paperwork are kept accurate and up to date.
- Maintain and Update the QMS
Quotations & Job Documentation
- Prepare and issue customer quotations.
- Prepare and issue revised quotations (Rev B).
- Assist with general job administration and documentation.
- Ensure relevant paperwork is filed and available when required.
Office & General Administration
- Answer and direct incoming telephone calls.
- Deal with general office enquiries.
- Assist with the day-to-day administration of the business.
- Support the existing Office Administrator with payroll, invoicing and other administrative tasks when required.
- Liaise with employees, customers, suppliers and delivery drivers.
Goods In / Goods Out
- Receive incoming goods and deliveries.
- Check deliveries against delivery notes and paperwork.
- Prepare and issue delivery notes for outgoing goods.
- Keep records of goods received and dispatched.
- Assist with ensuring the goods-in/goods-out area is organised and paperwork is completed correctly.
About You
We are looking for someone who is:
- Experienced in a general office administration role.
- Highly organised and able to manage several tasks at once.
- Confident using Microsoft Excel and other computer systems.
- Accurate and has excellent attention to detail.
- Reliable and punctual.
- Comfortable communicating with people both over the phone and in person.
- Able to work independently and use their own initiative.
- A good team player who is willing to help wherever needed.
- Confident chasing paperwork and information when required.
- Able to prioritise work and meet deadlines.
- Professional, approachable and friendly.

Previous engineering experience is not essential. Full training will be provided on our systems and processes, although previous office administration experience is required.
