We’re looking for passionate team players to bring joy to our customers every day. As a People Coordinator at Pret A Manger, you’re the operational heartbeat of the People Team—keeping AM & GM moves, records and policies flawless in Workday and ServiceNow so shops stay staffed, compliant and performing. Your precision and care safeguard colleagues (from family leave to AXA Occupational Health referrals) while your clean data flows into Power BI and Exit‑Interview Insights that help leaders boost tenure, engagement and performance across teams and markets. This role is a true force‑multiplier for Pret’s strategy—innovating through data and tech, partnering to drive exceptional performance, and building winning teams—so Happy Teams become Happy Customers, every day.
Key responsibilities

Prepare and maintain HR files for AM & GM managers.

Ensure all HR-related documents are managed confidentially and accurately stored via the filing system.

Process GM and AM moves on Workday and prepare relevant letters for:

Transfers
-
Job title changes
-
Salary changes
-
Grade changes
-
Promotions (including secondments and temporary step-ups)

Demotions
-
Act as the filter for all HR ServiceNow calls, checking regularly and assigning to the relevant team within SLA.

Manage the references inbox – create references and respond to queries.
-
Manage sabbatical, maternity, paternity, parental and shared parental leave processes.
-
Support Senior People Analytics and Systems Manager by feeding necessary data into Power BI dashboards.

Respond to information/reporting requests from the People Team and other departments (e.g., Safety, Payroll, Benefits, Recruitment).

Upload all HR documents onto Workday.

Conduct exit interviews and distribute monthly Exit Interview Summary emails to the HR team, providing insights based on data from two months prior.

Utilise Power BI Dashboard to share Exit Interview Survey links with employees, ensuring timely completion.

Support with producing AM & GM Pay Review letters.

Audit employee files.
-
Prepare and analyse people reports.

Order maternity and paternity gifts.
-
Upload documents to Planet Pret (as required).

Screen People Advisors inbox and escalate to the relevant People Advisor.

Support People activity within shops, including communication with shop managers and collation of information.

Raise purchase orders on NetSuite as required.
Experience and Skills required
Must Haves:

Microsoft Office Suite:

Excel – intermediate to advanced (data uploads, reporting, pivot tables).

Word & PowerPoint – drafting letters, creating presentations.

Data Handling & Confidentiality: Accurate record-keeping and secure file management.

Basic Reporting Skills: Ability to extract and interpret HR data for dashboards and summaries.

Document Management: Uploading HR documents into systems like Workday and Planet Pret.

IT Literacy: Comfortable navigating multiple platforms and troubleshooting basic issues.
Nice-to-haves:

Power BI: Building or updating dashboards, interpreting analytics for insights.

HR Analytics: Understanding metrics like turnover, engagement, and workforce trends.

Advanced Excel: Complex formulas, conditional formatting, and data modelling.

Basic Knowledge of Employment Law & Compliance: Supporting accurate HR processes.

Experience with Purchase Order Systems: e.g., NetSuite for raising PO’s.

The interview journey
Every interview process at Pret begins with the same two stages. First, you’ll have a relaxed 30-minute conversation with our recruitment team so we can get to know you and your experience. Next, you’ll be invited to a one-hour, in-person interview with the hiring manager at our Head Office in London Victoria.
Depending on the role and function, there may be additional stages. These could include time spent in one of our shops, completing a task, or meeting a senior leader.
