We are looking for an organised and proactive Transport Administrator to join our busy Transport team. This is a varied administrative role supporting the day-to-day running of our delivery operation, ensuring our fleet remains compliant, our drivers are supported, and our deliveries continue to run efficiently.
The Role
Reporting to the Transport Manager, you'll provide administrative support across our transport department, ensuring records are maintained accurately, compliance requirements are met and excellent customer service is delivered.
Working in a fast-paced environment, you'll liaise with drivers, customers and internal departments, helping to keep our daily delivery operation running smoothly.
Key Responsibilities
- Maintain accurate driver, vehicle and transport records, ensuring all documentation is up to date and securely filed.
- Monitor fleet compliance, including vehicle servicing, MOTs, maintenance schedules, tyre replacements, accidents, monthly driving licence checks and driver hours reporting.
- Produce transport reports and maintain compliance documentation, including uniform records, monitor returns and missing IRTENS reports.
- Manage Penalty Charge Notices, including processing appeals and coordinating payments with drivers.
- Administer vehicle accident documentation, liaising with insurance providers and supporting drivers throughout the claims process.
- Maintain transport filing systems, including driver files, vehicle records, customer contracts and Quality Management System (QMS) documentation.
- Allocate new customers to delivery routes and update customer delivery information, including keys, access codes and delivery instructions.
- Coordinate second deliveries, ad hoc courier collections and container tracking using transport systems such as Podfather and Centric.
- Respond promptly to transport enquiries from customers, drivers and internal departments, resolving delivery queries and customer complaints professionally.
- Support the Transport Manager and wider team with general administrative duties as required.
About You
We're looking for someone who:
- Has previous administration experience, ideally within transport, logistics, distribution or supply chain.
- Is highly organised, with excellent attention to detail and the ability to manage multiple priorities.
- Is confident using Microsoft Office, particularly Excel, and able to learn new systems quickly.
- Has experience using transport or routing software such as Podfather (desirable but not essential).
- Is an excellent communicator, able to build positive working relationships with customers, drivers and colleagues.
- Is proactive, reliable and enjoys working as part of a busy operational team
