Order Fulfilment Executive

Hours: Monday to Friday
Working Pattern: Office-based with 1 day working from home per week
The Role
We are looking for a hard-working, organised and trustworthy Order Fulfilment Executive to join our team in Stafford.
This is a key operational role within the business. Once an order has been secured by our Sales team, you will take responsibility for helping ensure that order is fulfilled accurately, efficiently and on time.
You will work closely with our Sales team, international suppliers, customers and logistics partners to keep orders moving from purchase through to delivery.
The role involves managing multiple orders at different stages at the same time, monitoring deadlines, chasing suppliers, keeping customers updated and ensuring all information is accurately recorded within our CRM system and internal tracking sheets.
We are looking for someone who is proactive and does not simply wait for problems to arise. You should be comfortable chasing information, following up with suppliers, identifying potential delays and taking action to keep orders on track.
Key Responsibilities
- Taking ownership of orders passed across by your designated Sales Representative.
- Liaising daily with international suppliers and customers.
- Tracking incoming and outgoing orders and ensuring deadlines are met.
- Regularly following up with suppliers regarding availability, dispatch dates, lead times and delivery updates.
- Negotiating and working with suppliers to achieve the best possible delivery times.
- Identifying potential delays or problems with orders and taking action to resolve them.
- Keeping customers informed throughout every stage of their order.
- Ensuring your Sales Representative has clear and accurate information regarding the progress of their orders.
- Updating our CRM system and internal Google Sheets accurately and consistently.
- Maintaining a clear and accurate record of every order you are responsible for.
- Responding to questions from customers, suppliers and colleagues clearly and accurately.
- Coordinating with the wider team to ensure products arrive into the business and are dispatched to customers in a timely manner.
- Prioritising urgent orders and managing multiple deadlines simultaneously.
- Supporting management and the wider team with additional operational and administrative tasks when required.

Experience
Previous experience within one or more of the following areas would be beneficial:
- Order fulfilment / order processing
- Sales administration
- Purchasing / procurement
- Logistics
- Supply chain
- Customer service
- General administration
Experience using a CRM system, order management system or similar business software would also be beneficial.
Customer service experience: 1 year preferred.
