As a practice, we are always looking at innovative new ways of working and how we can continue to improve patient care. We are now looking for an enthusiastic and proactive Back Office Manager to join our growing team and support the smooth running of our administrative and reception functions.
About the role
This is a new and exciting role within the practice, created to support our existing senior leadership team and help manage a skilled and experienced back-office team of administrators and receptionists.
The successful candidate will play a key part in coordinating day-to-day back office operations, supporting staff, improving processes, and helping the practice respond effectively to changing workload and capacity demands.
Our back office functions include scanning, document workflow, prescription claims, summarising, subject access requests, insurance reports, referrals and other administrative processes. Some of these areas are evolving quickly, while others remain more traditional, so we are looking for someone who can bring organisation, energy and a practical approach to improving how things work.
Key responsibilities
The Back Office Manager will:
Manage and support the back office administrative and reception teams.
Oversee daily workflows, ensuring tasks are completed accurately and in a timely manner.
Support the senior leadership team with implementing new processes and improving existing systems.
Help monitor workload, capacity and staffing pressures across the administrative team.
Identify opportunities to improve efficiency, consistency and patient care.
Provide guidance, training and day-to-day support to team members.
Help maintain high standards of communication, confidentiality and professionalism.
Work collaboratively with clinicians, managers, receptionists and administrators across both sites.
Support areas such as scanning, document management, referrals, summarising, reports, claims and patient requests.
About you
We are looking for someone who is organised, approachable and confident working with people. You will be proactive, adaptable and able to support a team through change.
The ideal candidate will have:
Experience working in a GP surgery, healthcare setting or busy administrative environment.
Strong organisational and prioritisation skills.
Experience supporting, supervising or managing a team.
Excellent communication and interpersonal skills.
A positive, solution-focused approach.
Confidence using IT systems and learning new processes.
The ability to manage competing demands calmly and effectively.
An understanding of confidentiality and the importance of accurate administrative work.
Experience with GP systems and NHS administrative processes would be desirable, but the right attitude and ability to lead and support others are just as important.
