The post holder is required to provide a full administrative and secretarial service to a multi disciplinary team including the management of information systems and the co-ordination of the clinical referral system.
The working pattern for this role is - Monday, Tuesday 9 am - 4.30 pm and Thursday 10 am - 2 pm
Please note this is a fixed term post for 18 months.

To provide a comprehensive secretarial and administrative support including the use of audio/copy typing, photocopying, word processing, the use of management information systems and email to facilitate the smooth and effective running of the department.

To collect and collate all patient / performance monitoring/ staff governance activity and produce all statistical information associated with this.

To monitor and maintain the waiting list and referral system for the department.

To collect, prioritise and distribute incoming and outgoing correspondence and telephone calls on behalf of the team and to initiate action where required to ensure relevant and timely responses.

To be the first point of contact and to liaise with relatives, carers, clients and other agencies by telephone or face to face to maintain the satisfactory operation of the department.

To manage all aspects of document retrieval, filing and bring forward systems and to maintain the data base therefore ensuring that standards of protocol and accuracy are achieved thus ensuring the availability of up to date and accurate information at all times.

RSA3/SVQ3/NC in Secretarial Studies or equivalent.

Proficient IT Skills which include a working knowledge of Microsoft office packages.

Excellent organisation skills and the ability to prioritise and work on own initiative.

Excellent oral and written communication skills.
