We are now looking for an experienced Clinic Operations Manager to lead the day-to-day running of our clinic and academy while preparing the business for CQC registration and future growth.
The Role
This is a hands-on leadership role responsible for ensuring the clinic operates safely, efficiently and to the highest professional standards.
You will oversee daily operations, staff performance, compliance, patient experience and operational systems while supporting our expansion into hair transplant services.
This is not purely an administrative role. We are looking for someone who leads by example, enjoys improving systems and is passionate about creating an outstanding patient journey.
Key Responsibilities
Daily Clinic Operations
Oversee the smooth day-to-day running of the clinic and academy
Ensure treatment rooms meet clinical standards at all times
Monitor opening and closing procedures
Ensure appointment schedules run efficiently
Resolve operational issues quickly
Manage daily workflow across reception, practitioners and trainers
CQC Preparation & Compliance:
Lead the clinic towards successful CQC registration
Ensure compliance with CQC Fundamental Standards
Maintain clinical policies and procedures
Complete regular clinical audits
Monitor infection prevention and control standards
Ensure medicines, equipment and consumables are managed safely
Maintain incident reporting systems
Support governance meetings
Prepare documentation for inspections
Staff Management
Lead reception, coordinators and support staff
Conduct daily team briefings
Monitor staff performance
Carry out probation reviews and appraisals
Manage rotas and annual leave
Ensure mandatory training is completed
Recruit and onboard new staff
Foster a positive, accountable culture
Patient Experience:
Ensure every patient receives exceptional customer care
Manage complaints professionally
Monitor online reviews
Improve patient satisfaction
Oversee patient communication throughout their journey
Business Operations:
Oversee stock management
Manage supplier relationships
Monitor KPIs
Produce weekly operational reports
Improve business systems
Identify efficiencies across departments
Support business growth initiatives
Phorest Management:
You will become the operational lead for our Phorest system including:
Appointment management
Staff calendars
Reporting
Patient records
Recall campaigns
Memberships
Treatment notes compliance
KPI reporting
What We're Looking For
Essential:
Previous CQC experience
Minimum 2 years' management experience
Experience within a medical, healthcare, aesthetics, dental or cosmetic clinic
Strong leadership skills
Excellent organisational ability
Experience managing teams
Strong understanding of compliance
Excellent communication skills
Ability to work under pressure
High attention to detail
Confident using CRM or clinic software
Desirable:
Experience preparing for inspections
Knowledge of infection prevention and control
Experience using Phorest
Experience within aesthetics or cosmetic surgery
Hair transplant clinic experience
Understanding of governance frameworks
