The Role
To coordinate and administer the end to end onboarding process for all new starters across the business, ensuring a professional, efficient and complaint experience from offer acceptance to successful integration into the business. The role will act as a primary point of contact for new employees, support managers throughout the onboarding journey, and maintain all associated onboarding systems, records and processes. An initial key objective of the role will be the development and implementation of an automated onboarding ‘Ripple’ within People HR to enhance the employee experience and reduce manual administration.
Key Objectives
Recruitment & Pre-Employment Screening
Screening Administration
- Coordinate and monitor all new starter screening and pre-employment checks from initiation through to completion
- Ensure all required documentation is received, verified and recorded in line with company procedures
- Liaise with candidates to resolve any issues
- Maintain accurate records of screening progress and provide updates to hiring managers, recruitment and HR
Digital ID Verification
- Complete and record digital ID checks in accordance with legal and company requirements
- Ensure all documentation is stored securely on the portal and in compliance with GDPR and company policies
Onboarding Administration
New Starter Coordination
- Act as the primary point of contact for all new starters from offer acceptance until the completion of probation
- Issue onboarding documentation and monitor completion within required timescales
- Ensure all employee records are accurately created and maintained within People HR
- Coordinate new starter communications to ensure employees feel informed, welcomed and engaged prior to their first day
Onboarding Documentation
- Prepare and distribute onboarding packs and employment paperwork
- Ensure all mandatory documentation is completed, received and filed appropriately
- Maintain onboarding records and provide management information when required
Induction and integration
Induction Delivery
- Coordinate and facilitate Head Office and Egremont inductions
- Support with other site inductions as and when required
- Carry out new starter drug and alcohol screening
Manager Support
- Support line managers with creation of new starter timetables for the employees first week
- Monitor and ensure completion of the Line Manager Induction Checklist
Systems & Continuous Improvement
People HR Onboarding Ripple Project
- Lead the implementation and development of an onboarding Ripple within People HR
- Support ongoing development and maintenance of onboarding workflows, communications and system functionality
Person Specification
Qualifications
- GCSE qualifications including English and Maths (or equivalent) - Essential
- Business Administration qualification or CIPD Level 3 - Desirable
- Membership of appropriate technical / professional body - Desirable
- IOSH Managing Safely or Level 2 Health & Safety in the Workplace or equivalent - Relevant training will be provided if required
Experience & Knowledge
- Well organised with the ability to work to timescales and demonstrate attention to detail - Essential
- Routine recording and reporting of information both verbal and numerical - Essential
- Reception of physical and telephone callers - Desirable
- Experience of employment in a customer facing role - Desirable
- Familiar with structuring and presentation of own work - Desirable
- Used to dealing with confidential and commercial information - Desirable
- Familiar with integrated management system operating procedures and requirements etc. - Desirable
Skills & Abilities
- Competent user of MS Office - Essential
- Able to organise and prioritise own work - Essential
