Role overview
The AI & Innovation function is a newly formed department, being built from the ground up and tasked with driving practical AI adoption across a business serving over 25,000 schools and 13 million educators.
The team is small and technically deep: the Head of AI and Innovation and three Principal Engineers, each holding ownership of a technical pillar of the department’s roadmap. What the team does not yet have is structured capacity for requirements gathering, stakeholder analysis, adoption measurement, or the baseline-and-tracking work every pillar depends on. This role exists to close that gap and turn department pain points into scoped, evidenced opportunities.
You will own the measurement framework that proves whether initiatives are actually working, and to be the analytical counterweight to a team of senior engineers and AI specialists. The Business Analyst will work across every function in the business, sit inside a live three-month AI pilot from day one, and directly own the adoption-tracking and measurement pillar of the AI Hub’s own roadmap, and work with the Department Head to manage the departmental operations across all implementations and projects.
Key Responsibilities
Discovery, Requirements & Opportunity Management
- Own and maintain the Pain Points & Issues Register and the Opportunity Map as living documents, updating them as new discovery and stakeholder conversations happen, not as one-off deliverables
- Convert department pain points into scoped, evidenced opportunities using the department's value and feasibility framework
- Write PRDs, user stories and acceptance criteria for AI-enabled tools and features, working directly with the Principal Engineer who owns the relevant technical pillar
- Provide analysis support to whichever part of the department needs it most at a given time, consistent with the department's pull-based operating model
- Oversee the project management environment and dashboards of the department
Measurement, Baselines & ROI
- Own the tracking of how far each AI initiative has spread, from individual use through to genuine cross-department adoption, not just whether it exists
- Prototype automation frameworks with the engineering team to streamline this work and remove manual workloads wherever possible
- Capture baselines before any AI initiative goes live, and measure impact against those baselines afterwards
- Support the measurement framework for the current three-month AI pilot, including consumption, adoption and outcome-based impact across the pilot cohort, and then follow-on phases
- Work with the Department Head to manage project & departmental budgets and ensure metrics are live and initiatives remain commercially viable, and track ROI vs Spend
- Co-design the ROI and value-measurement framework with Finance and produce regular reporting for the Head of AI, the CFO and senior leadership
Governance, Risk & Compliance Support
- Support the department's cost, impact and threat risk-tagging discipline on every initiative before it is built, not after - although we will measure estimates vs actuals after delivery
- Support Data Protection Impact Assessments for AI initiatives that process personal or sensitive data, working with Legal and Information Security
- Maintain the use-case inventory and risk tiering underpinning the department's governance framework
- Document AI processes, decisions and outcomes for audit and knowledge-management purposes
Stakeholder Engagement & Enablement
- Act as the analytical bridge between the AI function and the wider business, translating pain points into requirements and technical capability into language the business can act on
- Support the training and enablement programme, including scheduling, completion tracking and maintaining training content
- Support vendor and tool evaluation, including due diligence on cost, capability and data-handling terms
- Maintain the department's internal knowledge assets, including the prompt library structure and the connector and systems registry
What will you need to succeed?
Experience
- Has worked as a Business Analyst, Product Analyst or similar in a technology, SaaS or data-driven environment, including having built a measurement or ROI framework rather than only inheriting one
- Has written PRDs, user stories and acceptance criteria that engineers have genuinely built from
- Has worked directly with senior technical staff as a genuine analytical partner, not purely a coordinator
- Has operated in an environment where the roadmap was still being defined, not handed down complete
Knowledge
- Working knowledge of AI and machine learning concepts, sufficient to have an informed conversation with engineers about what a given capability can and cannot realistically do
- Familiarity with data protection principles, including UK GDPR and Data Protection Impact Assessments, sufficient to recognise when a proposed initiative needs a formal compliance check
- Comfortable working with data from multiple systems, including CRM, support, product usage and financial data, to identify patterns and prioritise
- Awareness of agile and product ways of working, including backlog management and stage-gated delivery
Skills
- Strong structured-thinking and synthesis skills, able to turn a room of stakeholders describing loosely related problems into a small number of clearly scoped opportunities
- Confident, clear written and verbal communication, comfortable presenting to senior leadership including the CFO
- Comfortable with genuine ambiguity in a small, fast-moving team, rather than a settled process to follow
- Proficient with data analysis and visualisation tools such as Excel, Looker or Power BI, plus a working ability to use AI tools themselves, for example Claude for spreadsheets and drafting, as part of daily practice
Qualifications
- Degree-level education or equivalent demonstrable experience; no specific subject requirement
- A portfolio of real requirements and measurement work matters more for this role than a specific qualification, though a numerate or research-based background is a helpful indicator of the analytical rigour the role needs
