About the Role
We are seeking an organised and proactive Planning Administrator to support the smooth flow of customer orders through the business. The role is responsible for ensuring all jobs are complete, approved and production-ready before entering the Planning Department.
Working closely with Account Management, Studio, Purchasing, Production and Logistics teams, the Planning Administrator will help maintain workflow accuracy, improve efficiency and ensure jobs progress through the business in line with company processes and customer requirements.
Key Responsibilities - Planning & Workflow Coordination
- Support the Planning team by ensuring all job information is accurate and complete before release.
- Coordinate the flow of work between internal departments and customer-facing teams.
- Monitor customer priorities and communicate requirements to relevant departments.
- Maintain accurate records and workflow visibility across all projects.
- Assist with scheduling and planning administration activities.
Compliance & Job Readiness
Ensure all required information is in place before jobs are released into Planning, including:
- Customer brief and specifications.
- Approved artwork.
- Purchase Orders and commercial approvals.
- Production methods and material availability.
- Delivery and installation requirements.
- Agreed delivery dates and project deadlines.
- Return incomplete jobs for correction with clear actions required.
- Maintain compliance with internal planning and gatekeeping procedures.
Operational Support
- Liaise with Studio, Estimating, Purchasing, Production and Logistics teams.
- Identify potential issues or delays and escalate them promptly.
- Support continuous improvement of planning and workflow processes.
- Help ensure jobs progress efficiently from order receipt through to production.
Skills & Experience
- Previous experience in an administrative, planning or coordination role.
- Strong organisational and attention-to-detail skills.
- Excellent communication and stakeholder management abilities.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Confident using Microsoft Office and internal business systems.
- A proactive approach to problem-solving and process improvement.
