Position: Business Support Officer (BR6)
Location: Churchill Court, 2 Westmoreland Road, Bromley, BR1 1AS
Start Date: ASAP (Immediate start required)
Contract Duration: 2+ Months - 3 days, min. 1 in office.
Working Hours: 21 hours per week
Pay Rate: PAYE: £104.54 per day
Job Responsibilities
- Provide effective administrative, clerical and IT support to the SEND Tribunals and Mediation Service.
- Manage incoming telephone calls, emails and enquiries from parents, carers, young people, legal representatives, schools and professionals.
- Provide clear, sensitive and professional communication regarding tribunal appeals, mediation processes, statutory deadlines and next steps.
- Maintain accurate case records, update tracking systems and monitor progress of tribunal and mediation cases.
- Manage evidence received from families, schools, health, social care and other partners, ensuring documents are recorded and followed up appropriately.
- Prepare tribunal and mediation documentation, including evidence bundles, appeal responses and supporting papers within required timescales.
- Maintain secure electronic document management systems in line with GDPR, confidentiality requirements and Council procedures.
- Record decisions, outcomes and case updates accurately using agreed Council IT systems.
- Support diary management, deadline monitoring and follow-up actions for appeals and mediation activity.
- Provide accurate information and updates to SEN Finance regarding tribunal and mediation costs and outcomes.
- Support Freedom of Information requests and preparation of SEND governance information when required.
- Work collaboratively with SEND teams, education providers, legal services, health, social care and other stakeholders.
- Contribute to service improvements and support the effective delivery of SEND statutory duties.
Person Specification
Essential Skills & Experience
- Experience of providing administrative/business support within a professional or public sector environment.
- Strong organisational skills with the ability to manage multiple cases, deadlines and priorities.
- Experience handling confidential and sensitive information in line with data protection requirements.
- Excellent written and verbal communication skills with the ability to communicate sensitively with families and professionals.
- Ability to maintain accurate records, manage documents and use electronic case management systems.
- Experience preparing reports, correspondence, documents or information for formal processes.
- Strong attention to detail and ability to work accurately under pressure.
- Ability to work independently and as part of a wider team.
- Good IT skills, including experience using Microsoft Office and digital document management systems.
Desirable Experience
- Experience working within SEND, education, local authority, legal, health or social care services.
- Knowledge of SEND Tribunal processes, mediation procedures and statutory SEND legislation.
- Understanding of the Children and Families Act 2014 and SEND Code of Practice 2015.
- Experience dealing with parents, schools, external agencies or legal representatives.
