About the Role
We are seeking an experienced, professional, and proactive Building Manager to oversee the day-to-day management of a newly developed six-storey office building comprising approximately 30,000 sq ft with several commercial tenants.
This is a hands-on role combining building management, front-of-house reception, contractor management, and facilities administration. The successful candidate will be the first point of contact for tenants and visitors while ensuring the building is maintained to the highest possible standard.
Key Responsibilities
Building Management
- Manage the day-to-day operation of the office building.
- Ensure the building is presented to an exceptional standard at all times.
- Carry out regular inspections of all common areas, plant rooms and external areas.
- Identify maintenance issues and arrange prompt repairs.
- Maintain full compliance with health and safety legislation.
- Keep accurate records of inspections, maintenance and statutory compliance.
Reception & Tenant Services
- Staff the reception desk during business hours.
- Welcome visitors and contractors in a professional manner.
- Act as the primary point of contact for tenants.
- Respond promptly to tenant enquiries and resolve issues efficiently.
- Coordinate access passes, keys and visitor management.
Contractor & Facilities Support
- Support and manage contractors on site including: Cleaning, Mechanical & Electrical (M&E), Fire safety, Lift maintenance, Waste management, Window cleaning
- Where possible, obtain quotations and negotiate competitive pricing.
- Monitor contractor performance and ensure service level agreements are achieved.
- Schedule planned preventative maintenance (PPM).
- Ensure statutory inspections are completed on time.
Health & Safety
- Ensure full compliance with all statutory requirements.
- Manage risk assessments and building safety documentation.
- Coordinate fire drills and emergency procedures.
- Liaise with external consultants and enforcing authorities where required.
- Maintain compliance records including: Fire safety, Water hygiene, Lift inspections, Electrical testing
Administration
- Maintain contractor and supplier records.
- Process maintenance requests.
- Manage service contracts and renewal dates.
- Assist with service charge budgeting and expenditure monitoring.
- Produce regular reports for the property owner/asset manager.
- Maintain accurate records of maintenance activities and history.
Person Specification
- Strong knowledge of facilities management and building maintenance.
- Experience managing contractors and service providers.
- Excellent customer service and communication skills.
- Professional appearance and manner.
- Strong organisational skills with excellent attention to detail.
- Competent using Microsoft Office (Outlook, Word and Excel).
- Ability to work independently and prioritise workload.
- Previous experience in managing a commercial office building (Desirable).
