1. Purpose
Working under the direction and guidance of the SHEQ Manager and wider SHEQ team, the SHEQ Administrator provides administrative support to the SHEQ team to improve the consistency of compliance evidence, audit readiness and reporting. This role does not require experience of SHEQ duties as it is purely an administrative role.
2. Principal Accountabilities
· Provide administrative support to the SHEQ function to ensure compliance activities are documented, tracked and evidenced.
· Support audit readiness activity (RISQS/ISO/client audits) by collating evidence, maintaining trackers and supporting action close-out.
· Support the management of SHEQ evidence within Fieldwire and other platforms, providing visibility of gaps to Delivery Teams.
· Administer incident / near miss / close call records, including compilation of investigation packs and follow-up of actions.
· Support SHEQ communications, including issuing toolbox talks on request and maintaining communication records.
· Support the planning and administration of briefing events / stand up days, including developing PowerPoint presentations.
3. Detailed Responsibilities
· Maintain SHEQ action trackers (audits, inspections, meeting actions) and chase owners to ensure actions are closed on time.
· Support internal audits and external audit preparation by collating evidence packs, cross-referencing against audit schedules, and maintaining audit logs.
· Assist with RISQS audit preparation activity, including evidence collation and document pack assembly.
· Admin support for RAMS / HSQE plan / WPP / TBS administration: logging receipt, ensuring correct version control, and assisting with distribution to relevant teams.
· Monitor Fieldwire project folders for completeness of SHEQ evidence packs; raise gaps to the Construction Manager / PM / PE / SHEQ Manager as required.
· Compile ‘ready for review’ evidence packs for SHEQ review (photos, permits, briefings, certificates), and maintain a simple status tracker (RAG).
· Log incidents, close calls and near misses as instructed by SHEQ Manager; request supporting evidence (statements/photos) and compile investigation packs.
· Maintain a register of incident actions and follow up until closed, escalating overdue actions.
· Maintain registers as delegated by the SHEQ Manager, including COSHH register and PPE / calibration / tools & equipment registers (where applicable).
· Chase periodic checks / evidence as required (e.g., inspection sheets, calibration certificates) and file to the correct project/register location.
· Issue toolbox talks on request, maintain distribution records (who received / when) and store evidence for audit.
· Provide administrative support for SHEQ briefings, stand-up days and events: invites, attendance lists, minutes, action logs, and presentation materials (PowerPoint).
· Support the production of SHEQ dashboards / simple KPI summaries (Excel) as requested by the SHEQ Manager/BOM.
· This is an administrative support role and does not provide competent SHEQ advice; technical advice and approvals remain with the SHEQ Manager/Business Operations Manager/competent persons.
· Prepare/compile documentation and evidence for review; do not approve RAMS, permits, or technical documentation unless expressly authorised.
4. Required Experience, Knowledge, Qualifications, and Training
· Administrative experience (essential).
· Proficient in Microsoft Word, Excel and PowerPoint (essential).
· Ability to organise information, maintain trackers, meet deadlines and follow up actions with management.
· Good written communication and attention to detail (accurate filing/versioning, clear records).
· Ability to handle sensitive information appropriately and maintain confidentiality.
5. Desirable Experience, Qualifications, and Training
· Experience in a similar compliance / SHEQ / quality administration role (desirable but not essential).
· Experience collating evidence for audits (e.g., RISQS / ISO / client audits) (desirable but not essential).
· Familiarity with project evidence platforms (e.g., Fieldwire) and document control practices (desirable but not essential).
· Awareness of rail/construction environments and common permit/evidence types (desirable but not essential).
