Job Purpose
We are looking for an organized, proactive and detail-oriented Operations Assistant to support the day-to-day running of the business. The role will involve coordinating orders, liaising with customers and suppliers, maintaining accurate records, supporting purchasing and logistics, and helping to ensure that customer orders are delivered accurately and on time.
The successful candidate will be comfortable working in a fast-paced environment, managing multiple tasks and deadlines, and communicating effectively with customers, suppliers and internal teams.
Key Responsibilities
- Assist with the day-to-day administration of the operations department.
- Process and manage customer orders from receipt through to delivery.
- Liaise with customers regarding orders, delivery dates, product specifications and queries.
- Liaise with suppliers and manufacturers to obtain pricing, lead times, production updates and shipping information.
- Raise and process purchase orders and sales orders.
- Monitor order progress and follow up with suppliers to ensure deadlines are met.
- Arrange and coordinate deliveries and collections with couriers, freight companies and other transport providers.
- Prepare shipping and delivery documentation where required.
- Track incoming and outgoing shipments and communicate any delays or issues.
- Maintain accurate records of orders, stock, deliveries and supplier information.
- Assist with stock management and stock level monitoring.
- Update internal systems, spreadsheets and databases with accurate information.
- Support the sales team with operational and customer requirements.
- Identify potential operational issues and escalate them to the appropriate manager.
- Work closely with other departments to ensure smooth communication and efficient order fulfilment.
Key Skills & Experience
Essential:
- Previous experience in administrative, operations, logistics or customer service role.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Good written and verbal communication skills.
- Ability to manage multiple tasks and prioritize workloads.
- Confident using Microsoft Office, particularly Excel and Outlook.
Desirable but not essential:
- Experience within packaging, retail, manufacturing, logistics or a similar industry.
- Experience dealing with overseas suppliers or international shipments.
- Knowledge of import/export documentation.
- Experience with stock control or order management systems.
- Understanding of product specifications and quality control.
- Experience working with freight companies and couriers.
