We are seeking to appoint a permanent, part-time (18.13 hours) Print Unit Assistant who will work as a member of the Print Unit team to support the efficient and timely delivery of printing and document services within the organisation.
This includes operating and maintaining printing and copying equipment, preparing and processing print jobs to a high standard of accuracy and quality, and ensuring that all materials are produced in line with organisational requirements and deadlines. The role also contributes to maintaining adequate supplies, supporting staff with print-related queries, and ensuring a smooth workflow within the print unit.
Candidates should be educated to a minimum of 5 GCSEs at grades A* - C (incl. English and Maths) or NVQ level 2 in a relevant subject area or with equivalent relevant experience.
Experience of dealing with queries and providing information to internal and external stakeholders is essential, as well as an understanding of good customer care and quality service.
The ability to communicate in Welsh is desirable for this post.

Print Unit Assistant role is to support the efficient and timely delivery of printing and document services within the organisation. This includes operating and maintaining printing and copying equipment, preparing and processing print jobs to a high standard of accuracy and quality, and ensuring that all materials are produced in line with organisational requirements and deadlines. The role also contributes to maintaining adequate supplies, supporting staff with print-related queries, and ensuring a smooth workflow within the print unit.
Specific duties of the role
- To work as part of a team and adapt to meet constantly changing priorities and deadlines and have the ability to become proficient in new technologies.
- To operate high-volume digital print equipment and be proficient in the operation of various print finishing equipment. This includes maintaining consumables stock levels and on-line ordering when required (for digital print equipment only).
- To print and bind work (project work, dissertations, theses etc.) for students/customers utilising a range of specialised equipment for both soft and hard cover binding.
- Demonstrate good customer skills when liaising with staff and students and ensure strict confidentiality when producing sensitive documents.
- Be responsible for proofing own work to help ensure accuracy and efficiency; manipulate/correct files as needed; take card/cash payments from customers as required.
- Monitor stock levels and advise the Senior Officer: Print Unit on any shortages/order requirements.
- Monitor internal Helpdesk system and ensure customers are kept informed of job status, delays, or required actions.
Common duties across all grade 4 staff in the directorate
Administrative Support & Customer Service
- Carry out routine administrative tasks such as data entry, filing, updating and maintaining records (e.g. student records systems, databases or spreadsheets), managing inboxes, and processing documentation.
- Assist in the preparation and distribution of materials such as reports, meeting agendas, and minutes.
- Act as a first point of contact for general inquiries (email, phone or in person) from students, staff, and external stakeholders, providing clear and accurate information and escalating more complex issues to senior colleagues.
- Support the resolution of straightforward issues related to the role’s focus, ensuring a professional and student-centred approach.
Events and Cross Functional Support
- Assist in the planning and organisation of meetings, events, workshops, and other activities, including booking rooms and preparing materials.
- Provide support as directed to contribute to the delivery of University events including open days, graduation ceremonies and careers fairs.
Teamwork and Collaboration
- Work closely, as directed, with colleagues across the University community to support joined-up service delivery.
- Provide support to other team members during busy periods, absences, or when additional help is needed, including advising new starters in the same role or unit.
- Contribute to team meetings or discussions by sharing updates on assigned tasks.
Compliance and Professional Development
- Follow established procedures to ensure compliance with institutional policies and external regulations.
- Provide administrative support for audits, reviews, or other compliance-related activities, ensuring use of proper documentation and accurate record-keeping for accountability and reporting purposes.
- The post holder will be expected to participate in performance review and developmental activities including attending training sessions, team meetings, or workshops to develop skills and enhance knowledge.
