About the Role:
We are looking for a highly organised, proactive, and professional Executive Assistant to provide confidential support to our CEO, Executive Board, and Senior Leadership Team. This is a varied and fast-paced role where you will play a key part in ensuring the smooth day-to-day operation of our Head Office while delivering exceptional executive and administrative support.
You will be responsible for managing complex diaries, coordinating meetings, preparing high-quality documentation, and acting as a trusted point of contact for internal and external stakeholders. Alongside executive support, you will oversee reception operations, support facilities management activities, and contribute to creating a professional and welcoming working environment.
Key Responsibilities:
- Provide confidential executive support to the CEO, Executive Board, and Senior Leadership Team.
- Manage complex diaries, appointments, meetings, and changing priorities.
- Coordinate executive communications and liaise with internal and external stakeholders.
- Prepare agendas, board packs, presentations, reports, and meeting documentation.
- Draft executive correspondence and management reports.
- Arrange business travel, accommodation, and transport.
- Process expenses in accordance with company policies.
- Organise corporate events, meetings, hospitality, and team activities.
- Oversee Front of House Administrators and ensure the smooth running of reception services.
- Maintain executive offices, meeting rooms, and presentation areas to a high standard.
- Support health and safety reporting and compliance activities.
- Manage stationery, office consumables, and supplier orders.
- Review contractor invoices and assist with supplier and contractor relationships.
- Coordinate contractor access, site visits, and facilities-related activities.
- Support the effective day-to-day operation of Head Office facilities.
About You:
To be successful in this role, you will have:
- Previous experience in an Personal Assistant or Office Manager role supporting senior executives.
- Excellent organisational and time management skills with the ability to manage multiple priorities.
- Outstanding communication and interpersonal skills.
- A high level of discretion and the ability to handle confidential information.
- Strong administrative skills with excellent attention to detail.
- Experience preparing reports, presentations, and board documentation.
- Confidence using Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- The ability to work independently, use initiative, and build effective working relationships across the organisation.
