Job Summary
We are seeking a trustworthy, reliable, and adaptable Office & Project Administrator to support the day-to-day running of our busy roofing and construction business.
This is a varied role that requires someone who is organised, proactive, and able to manage multiple priorities in a fast-paced environment. No two days are the same, and the successful candidate must be comfortable handling a wide range of administrative and project support tasks while maintaining a professional approach with clients, suppliers, and subcontractors.
This is a self-employed position with flexible hours. Workload can vary from week to week, with busier periods throughout the year.
Key Responsibilities
Finance & Invoice Administration
- Processing, tracking, and filing supplier invoices.
- Matching invoices with receipts and supporting records.
- Maintaining accurate invoice and payment records.
- Organising and filing financial documentation.
Project Administration
- Creating and maintaining project files.
- Managing job documentation and records.
- Assisting with general project administration.
- Supporting project manager and director with administrative tasks.
Health & Safety & Compliance
- Preparing RAMS (Risk Assessments and Method Statements) and Construction Phase Plans using our external health and safety portal.
- Monitoring and maintaining accreditation memberships including:
- CHAS
- SafeContractor
- Achilles
- Constructionline
- Tracking training requirements and certification renewals.
- Maintaining compliance records and documentation.
Office Administration
- Managing incoming emails and correspondence.
- Communicating professionally with clients, suppliers, and subcontractors.
- Ordering office supplies and materials.
- Processing receipts and general filing.
- Booking hotels and accommodation for site personnel when required.
- Managing vehicle-related administration, including Transport for London requirements and other ad-hoc vehicle bookings.
- Assisting with general office housekeeping in a small office environment.
Additional Duties
- Supporting the business with ad-hoc administrative tasks as required.
- Attending client meetings when requested.
- Taking ownership of new tasks and responsibilities that arise as the business grows.
- Providing flexible support to ensure business priorities are met.
Person Specification
Essential Skills & Qualities
- Excellent organisational skills and attention to detail.
- Strong administrative experience.
- Ability to prioritise workload and manage multiple tasks simultaneously.
- Professional communication skills, both written and verbal.
- Competent with Microsoft Outlook, Word and Excel.
- Ability to work independently and use initiative.
- Trustworthy, reliable and discreet.
- Adaptable and willing to take on a variety of tasks.
- Comfortable working in a fast-paced environment where priorities may change.
Desirable
- Previous experience within construction, roofing, facilities management or a similar industry.
- Experience with health and safety documentation.
- Knowledge of CHAS, SafeContractor and Achilles accreditation requirements.
- Experience managing project documentation and compliance records.

Pay: £14.00-£18.00 per hour
