The role
We’re looking for an experienced Property Manager to join our team managing a broad portfolio of factored developments. Working alongside colleagues, you’ll be a point of contact for homeowners, coordinating repairs and maintenance, managing contractors, and ensuring we meet our obligations under the Property Factors (Scotland) Act 2011 and the Code of Conduct for Property Factors.
Key responsibilities
· Handle homeowner enquiries, complaints and queries across the firm’s portfolio, resolving issues promptly and professionally
· Arrange, instruct and oversee repairs and planned/cyclical maintenance to common parts (roofs, stairwells, gardens, external fabric, etc.)
· Source, appoint and liaise with contractors; obtain quotes and see works through to completion
· Carry out site inspections and property visits as required
· Support the administration of service charge budgets, common repairs funds and float accounts; liaise with accounts on billing and arrears
· Help organise owners’/residents’ meetings and communicate outcomes
· Maintain accurate records and ensure full compliance with the 2011 Act, Code of Conduct and the firm’s Written Statement of Services
· Build and maintain strong working relationships with homeowners, developers and contractors
What we’re looking for
· Minimum 2 years’ experience in Scottish property factoring (essential)
· Sound working knowledge of the Property Factors (Scotland) Act 2011 and Code of Conduct
· Excellent communication and customer-service skills, with the ability to handle difficult conversations calmly
· Strong organisation and the ability to manage a busy, varied workload and prioritise effectively
· A team player, comfortable working collaboratively on a shared portfolio
· Confident with property management software and MS Office
· Full UK driving licence (for site visits) - Although not essential
· A proactive, solutions-focused approach and high attention to detail
Desirable
· Membership of / working towards IRPM / Propertymark qualifications
· Experience managing commercial as well as residential factored property
