Role Overview
As an Office Assistant, you will play a key role in ensuring the smooth running of the office. You will provide administrative support to the lettings team, assist with tenant and landlord enquiries, maintain accurate records, and help deliver a professional service to our clients.
Key Responsibilities
- Answering telephone calls, emails, and general enquiries from tenants, landlords, and contractors.
- Greeting visitors and providing a professional first point of contact.
- Managing and updating property, tenant, and landlord records.
- Assisting with tenancy paperwork, contracts, and compliance documentation.
- Scheduling property viewings, inspections, and maintenance appointments.
- Processing and filing documents accurately.
- Supporting rent administration and general office accounting tasks.
- Liaising with contractors regarding maintenance issues and repairs.
- Maintaining office supplies and ensuring the office environment remains organised.
- Assisting the lettings team with marketing and advertising student properties.
- Performing other administrative duties as required.
Skills and Experience
Essential:
- Excellent organisational and administrative skills.
- Strong communication skills, both written and verbal.
- Good working knowledge of Microsoft Office (Word, Excel, Outlook).
- Ability to manage multiple tasks and prioritise workload effectively.
- Professional and friendly manner.
- High attention to detail and accuracy.
Desirable:
- Previous experience in an office administration, customer service, or lettings environment.
- Knowledge of the property or student accommodation sector.
- Experience using property management software.
