Clinic Coordinator
Part-time – 16 hours per week.
Location – City Centre, Edinburgh.
Remuneration - £30,000-£32,000 pro rata per annum dependent on experience (based on 40 hours per week F/T equivalent).
Job Overview
Espacio Clinic is an established medical aesthetics clinic offering a wide range of advanced aesthetic and health treatments. We are regulated by Healthcare Improvement Scotland (HIS) and pride ourselves on delivering safe, ethical, and high-quality care in a calm and professional environment.
We are seeking a proactive and experienced Clinic Coordinator to support the running of the day-to-day operations of the clinic. You will be the central point of contact for daily clinic operations, ensuring a smooth and efficient experience for patients, staff and visitors. The successful candidate will be highly motivated, comfortable troubleshooting issues independently and able to deliver exceptional customer service. You will work closely with the manager and front of house team to carry out logistical and administrative tasks, support the patient journey and coordinate clinic staff. Responsibilities
- Coordinate the clinic diary and support on patient enquiries and scheduling, including answering phones, managing correspondence, and ensuring accurate patient records.
- Troubleshoot IT and facilities issues and be a point of escalation for front of house staff.
- Manage the stock, inventory and clinic supplies and related order shipments & deliveries. Monitor clinic equipment and maintenance schedules.
- Accounts management and supplier coordination, including meetings with commercial representatives.
- Assist the clinic manager with administrative tasks such as billing, bookkeeping and invoicing, payroll preparation, facilities management, data collection for internal auditing and clinic policy review.
- Support the clinic manager with logistical tasks such as rota coordination, staff communication, shift management and leave cover.
Essential Experience
- Proven experience in a coordination role, healthcare-based ideally.
- Strong IT skills including experience with Microsoft 365, clinical systems and booking software.
- Excellent organisational and problem-solving skills.
- Ability to manage multiple priorities whilst maintaining a positive attitude, and the ability to work independently.
- Strong communication skills, both verbal and written. Ability to interact effectively with a wide range of professionals and patients.
- High level of professionalism and attention to detail.
Desirable Experience
- Experience working within a private health or aesthetics clinic.
- Knowledge of aesthetics and healthcare services and the regulatory environment private clinics operate in.
- Website and social media accounts management experience, or an interest to learn.
- Bookkeeping and invoicing experience, or an interest to learn.
