Working Hours: 8am - 4:30pm - 40 hours per week working Monday – Friday
We are looking for a Project Coordinator to take ownership of a portfolio of long-term contracts with housing associations and local authorities across the North West. You'll be the named single point of contact for your clients across all the work TFJ delivers for them – fire stopping, fire joinery, active fire safety and electrical.
Coordinators are central to how we run our contracts. You will maintain the client relationship, speak directly with residents, drive data quality through every job from mobilisation to completion and make sure our Technical Managers, Supervisors and Operatives have what they need to deliver works.
The role includes:
- A defined portfolio of clients – you are their go-to for status, planning, queries and reporting.
- Resident communication – booking and confirming appointments by letter, text, email and phone, keeping people informed.
- Project data on our job-management system (EPIX) – job notes, statuses, access details, safeguarding flags and asbestos information, captured accurately and kept current.
- Client reporting – maintaining trackers and progress reports in cloud-based systems and Excel.
- Procurement – raising purchase orders, ordering materials.
- Compliance – supporting EPIX audit-readiness and Fire Risk Assessment evidence on every job in your portfolio.
- Timesheets – ensuring accuracy in times allocated to jobs.
Personal attributes:
- Experience in a coordination, scheduling or project support role – building safety, construction, social housing or facilities backgrounds are a strong fit.
- Strong Excel skills – comfortable with VLOOKUP, pivot tables, conditional formatting and producing clean, client-ready reports.
- Confident written and verbal communication – you prepare for meetings, are confident and concise in contract meetings (onsite / Teams) and your written word and phone conversations reflect your and TFJ’s professional standards.
- Organised – your inbox is managed, phone calls are answered promptly, clients are not unduly waiting for a response and you know what needs to be done.
- A completer/finisher – you take ownership whether it is an established task, emailed instruction or a contract meeting action.
- Excellent attention to detail and a methodical approach – you will notice when a status does not reconcile.
- Experience with cloud-based job-management systems (we'll train you on EPIX).
- A positive, proactive approach to everything you do.
- You support your colleagues during peak periods and absence.
