Overview
We are looking for an organised, capable and proactive Construction Office Manager to take responsibility for the smooth day-to-day running of our office and provide essential support to our construction operations. This is a varied role and would suit someone who enjoys being the person who keeps things organised, gets things done and knows what needs doing next. You will work closely with the Managing Director, site teams, subcontractors and suppliers, taking responsibility for the company's office administration, financial administration and operational coordination.
Construction experience would be a real advantage, but we are more interested in finding the right person with the organisation, initiative and attention to detail to make the role their own.
Responsibilities
- Taking responsibility for the smooth day-to-day running of the office.
- Managing general office administration, records and digital filing systems.
- Dealing with incoming queries from staff, clients, suppliers and subcontractors and ensuring they are followed through.
- Maintaining personnel records and company documentation.
- Managing the company's vehicle fleet, including servicing, insurance and associated records.
- Supporting the Managing Director with reporting and general business administration.
- Finance & Payroll
- Raising and processing sales and purchase invoices.
- Managing payroll and associated reporting.
- Processing CIS and VAT returns and submitting information to HMRC.
- Managing pension scheme administration.
- Monitoring expenses and maintaining accurate financial records.
- Producing regular reports and information for the Managing Director.
- Working with our accountants and other external advisers where required.
- Construction & Operational Support
- Assisting with labour scheduling and coordinating the availability of site operatives and subcontractors.
- Liaising with subcontractors and suppliers to ensure projects have the people, materials and services they need.
- Assisting with the pricing and procurement of materials, subcontractors and services.
- Obtaining quotations and placing orders.
- Tracking deliveries and resolving supplier or procurement queries.
- Helping to ensure information flows effectively between the office, site teams, suppliers and management.
- Supporting project administration and keeping relevant records up to date.
Compliance
- Maintaining company and employee records and ensuring relevant documentation remains current.
- Assisting with construction-related compliance and certification.
- Keeping track of vehicle, insurance, training and other company records.
- Supporting the business in maintaining good administrative and compliance processes.
- Managing payroll and associated reporting.

About You
We are looking for someone who is:
- Highly organised, practical and able to manage several things at once.
- Proactive and comfortable working independently.
- Confident dealing with people at all levels, including tradespeople, subcontractors, suppliers and clients.
- Numerate and comfortable dealing with invoices, payroll and financial administration.
- A good communicator with excellent attention to detail.
- Confident using Microsoft Office and digital systems.
- Familiar with accounting software such as QuickBooks, Xero or similar — although training can be provided.
- Able to identify problems and, importantly, get on and sort them out.
- Comfortable working in a busy construction environment where priorities can change quickly.
Previous experience within construction, building, property or a similar environment would be an advantage, but is not essential for the right candidate.
What We Offer
- £30,000–£36,000 per annum, depending on experience.
- Full-time position preferred, although part-time hours will be considered for the right person.
- Hybrid working may be available by agreement.
