About the Role
This is a support role. The postholder will work directly to the Office Manager, helping with the full range of their responsibilities, and will also provide administrative support to the Partnership Manager. The postholder will not hold independent responsibility for any function; all work is coordinated through the Office Manager, who will set priorities. The main areas of work include social media, reporting to the Scottish Government, administration to support events, and looking after the website, alongside general admin and CRM support.
Key Responsibilities
1. Supporting the Office Manager Help prepare reports and returns to the Scottish Government, gathering and checking the information needed. Help look after the DYW West Lothian website — making updates, uploading content, and flagging issues. Help run our social media channels, including drafting posts, scheduling, and gathering engagement analytics for the team to review. Help maintain and update information on employers, contacts, and interactions stays current and compliant.
2. Events Administration Help organise events end-to-end: setting up Eventbrite pages, managing bookings, communicating with attendees, preparing materials, and supporting delivery on the day. Keep event records and attendance logs up to date.
3. General Administration Help monitor shared organisational inboxes, reviewing enquiries and forwarding them to the right colleague. Help with document preparation, scheduling, logs, and filing. Provide day-to-day administrative support to colleagues as needed.
4. Working as Part of the Team Work effectively as part of a small, collaborative team, contributing to shared goals. Uphold DYW’s values of inclusivity, professionalism, and public service.
Person Specification
Essential
- Administrative skills with excellent attention to detail.
- Comfortable working with data and keeping records accurate.
- Knowledge in Microsoft Office.
- Good organisational skills with the ability to prioritise tasks and respond to direction.
- Strong written and verbal communication skills.
- Ability to work collaboratively in a small team.
- A proactive approach, with a willingness to take initiative within a supporting role.
- Willingness and ability to learn systems we use.
Desirable (training and support will be given — no prior experience required)
- Familiarity with social media platforms and an interest in engagement metrics.
- Experience supporting events or communications activity.
- Experience updating websites or content management systems.
- Awareness of the DYW programme or the youth employability landscape.
