About the Role:
The Human Resources & Office Administrator plays a key role in supporting the efficient operation of both the People function and the workplace environment. This position is responsible for HR administration throughout the employee lifecycle while ensuring the smooth day-to-day management of our office environment.
Key Responsibilities:
Human Resources Administration
- Coordinate all aspects of the employee lifecycle, including onboarding, induction, contract administration, and offboarding.
- Monitor probation reviews, contract renewals, right-to-work checks, and mandatory compliance requirements.
- Prepare employment contracts, offer letters, policy documentation, and other HR correspondence.
- Maintain accurate employee records within our HR systems, ensuring compliance with GDPR and company policies.
- Assist with recruitment activities, including scheduling interviews, communicating with candidates, and coordinating new starter arrangements.
- Support payroll administration by preparing and validating employee data, absence records, and changes to employment details.
- Responsible for the HR mailbox and the day-to-day employee queries relating to policies, benefits, leave, and HR procedures.
- Assist with performance review processes, training coordination, and employee engagement initiatives.
- Support the implementation and communication of HR policies, procedures, and people initiatives.
Office Management & Administration
- Manage the day-to-day running of the office to ensure a safe, professional, and productive working environment.
- Support with the organisation of company meetings, events, including the bookings, equipment and workplace resources.
- Manage office moves and workplace access requirements.
- Act as a point of contact for health and safety requirements, and employee experience initiatives.
- Support employee engagement activities.
- Maintain office procedures and administrative systems to improve operational efficiency.
Health, Safety & Wellbeing
- Support the company's Health & Safety programme and ensure compliance with relevant legislation.
- Maintain health and safety records, risk assessments, first aid provisions, and workplace compliance documentation.
- Assist with wellbeing initiatives and employee welfare programmes.
- Coordinate workplace inspections, audits, and corrective actions where required.
General Responsibilities
- Maintain a high level of confidentiality when handling employee and business information.
- Produce HR and office management reports as required.
- Support continuous improvement initiatives.
- Undertake additional duties consistent with the level and purpose of the role.
Skills & Experience
Essential
- Previous experience in an HR Administration, HR Coordinator, Office Admin, or similar role.
- Strong administrative and organisational skills.
- Excellent written and verbal communication skills.
- Ability to prepare and analyse data.
- Good knowledge of Microsoft Office applications.
- Ability to handle confidential information with discretion.
- Strong attention to detail and accuracy.
- Proven ability to manage multiple priorities and deadlines.
Desirable
- CIPD qualification (Level 3 or above) or working towards one.
- Experience using HRIS and payroll systems.
- Knowledge of UK employment legislation.
- Health & Safety or workplace management experience.
