FPC (NW) Ltd is looking for a highly organised Compliance Administrator to join our North West office-based team. This role is centred around the production and management of comprehensive Operations & Maintenance Manuals, compliance documentation and project evidence for passive fire protection, fire door remediation, joinery and survey works.
The successful candidate will ensure documentation is accurately collated, quality checked, professionally presented and issued to a fully auditable standard. You will also support Applications for Payment, OneTrace administration, invoice preparation, project trackers and compliance reporting.
A key part of the role will involve liaising with Contract Managers to review completed works, agree values, confirm supporting evidence and allow invoices to be issued accurately following review and agreement.
Key Responsibilities
- Produce and maintain comprehensive O&M Manuals and evidence packs for passive fire protection, fire door remediation, replacement and joinery projects.
- Collate and check product data sheets, safety data sheets, certification, test evidence, marked-up drawings, photographs, OneTrace reports, schedules, completion records and client handover documents.
- Ensure O&M information is clearly indexed, professionally presented, consistent, auditable and suitable for client, Principal Contractor, Principal Designer or BSR-related project requirements where applicable.
- Maintain accurate project records to support Applications for Payment, contract values, variations, monthly reporting and invoicing.
- Liaise with Contract Managers to confirm completed works, agreed values, supporting evidence and variations before invoices are issued.
- Set up, maintain and quality check OneTrace records, including locations, descriptions, dimensions, product information, evidence photographs, spelling and client recipient details.
- Maintain Applications Lists, Cashflow Forecasts, Incoming Work Trackers, Labour Lists and Cost Value Reconciliation records.
- Chase missing information and liaise with Operations, Joinery, Finance, Contract Managers, site teams, suppliers and clients to protect a clear audit trail.
What We Are Looking For
- Full understanding of O&M Manual production, evidence collation, document checking and client handover documentation is essential.
- Experience in financial administration, project administration, construction administration, compliance coordination or document control is desirable.
- Experience in passive fire protection, fire doors, joinery, surveys, building safety, facilities management or specialist contracting would be advantageous.
- Confidence liaising with Contract Managers to review completed works, agree invoicing values and ensure supporting records are complete before issue.
- Excellent attention to detail, strong administration skills and a methodical approach to organising, checking and issuing project records.
- Good working knowledge of Microsoft Excel, Word, Outlook, OneTrace or similar project tracking and document management systems.
- Clear, professional communication skills and confidence working with internal teams, suppliers, clients and project stakeholders.

Pay: From £30,000.00 per year
