We are looking for a full-time permanent Client Support Administrator to join our friendly and supportive team.
POSITION: Client Support Administrator
SALARY: up to£32,000 per annum
WORKING HOURS: 35 hours per week

ABOUT THE JOB
To provide administrative and operational support to the Bookings function, ensuring bookings are processed accurately, client and service partner communications are handled efficiently and operational tasks are completed in line with agreed service levels. The role supports the smooth delivery of cleaning services by maintaining accurate systems, responding to client enquiries and assisting the wider Operations and Client Support teams.
Your duties would include but are not limited to:
Bookings and Operations Support
- Support the day-to-day administration of bookings workflows, ensuring requests are logged, processed and updated accurately in Freshdesk and relevant client system
- Assist with the set-up of new client sites and the ongoing maintenance of existing client site information within systems
- Process booking amendments, cancellations and additional works requests in line with agreed procedures
- Liaise with clients, service partners and internal teams to confirm booking details and completion requirements
- Maintain accurate records to support work bill completion and SLA delivery
- Work collaboratively with Client Support colleagues and Operations teams to support workload demands
- Follow agreed processes and contribute suggestions for continuous improvement through feedback to the Bookings Team Leader
Client and Service Partner Communication
- Respond to incoming emails, system tickets and telephone enquiries in a timely, professional and friendly manner
- Provide clear updates to clients and service partners regarding booking status, next steps, or required actions
- Escalate issues, delays or service risks to the Bookings Team Leader or Operations and Client Support Manager as appropriate
- Record and follow up on any booking-related issues, ensuring actions are tracked to resolution
- Maintain up to date knowledge of relevant Health & Safety and ESG policies & procedures, ensuring they are followed at all times and actively supporting continuous improvement in safety, environmental and responsible working practices.
- Always comply with site‑specific safety rules and company policies and promptly report any unsafe conditions, incidents or breaches to help maintain a safe and compliant working environment.
Data, Reporting and Accuracy
- Maintain accurate booking, client, and service partner data to ensure reporting integrity
- Support the preparation of weekly or monthly booking data and summaries as required by the Operations and Client Support Manager
- Ensure documentation is stored correctly within SharePoint and client systems, maintaining confidentiality and data accuracy

ABOUT YOU
- Previous experience in a customer service or administrative role
- High level of customer service, professionalism, and confidentiality
- Strong organisational skills with the ability to prioritise tasks & manage workload effectively
- Proficient in Microsoft Office 365, including Outlook, SharePoint, and Teams
- High standard of written and verbal English
- Strong attention to detail and commitment to data accuracy
- Proactive, collaborative, and solution-focused approach to work
