Job Overview
We are looking for an organised, reliable and friendly administrator to support our Business Operations Manager across sales administration, order processing and day to day office operations.
This is a part-time role of 30 hours a week, worked across five shorter days so that the office has cover every weekday. Typical hours would be 8.00am to 2.30pm with a half hour break, and we are happy to discuss the exact pattern with the right person.
Responsibilities
● Arranging and coordinating engineers' travel
● Collating engineers' hours and expense submissions to deadline
● Organising and processing shipping and deliveries
● Processing company credit card expenses
● General filing and administrative duties
● Answering incoming telephone calls and directing enquiries
● Providing general support to the office and engineering team
● Helping to ensure the smooth running of day-to-day administration
● Email triage and first response
● Purchase order processing
● Preparing routine spare parts quotations and following up outstanding quotes
● Sales order and job data entry into our business management system
● Purchase invoice entry
● First and second stage invoice chasing
● Job closing checklist collation
We are looking for someone who is confident communicating with colleagues, customers and suppliers, both in writing and over the phone, and who is comfortable keeping people informed and updated. The ideal candidate will have experience in order processing or sales support, including handling quotes, orders and documentation and entering information accurately into a business management system. Strong organisational skills are essential, with the ability to manage general office administration, maintain accurate records, schedule appointments and prepare documents. Candidates should be comfortable using everyday office software such as Microsoft Office and be able to learn industry-specific systems quickly. Attention to detail, the ability to prioritise workload and meet deadlines are important, along with a reliable, practical attitude and a willingness to get involved. The successful candidate will be able to work independently as well as contribute effectively within a small team. Previous experience in an engineering, manufacturing or industrial environment, or training in business administration or operations, would be beneficial, but we value attitude, organisation and a willingness to learn just as highly
