We are looking to recruit an organised, reliable and proactive Stock Controller to join our Operations Team based at our Head Office in Kilmarnock.
This is a varied and important operational role that extends beyond traditional stock control. As well as managing the company's stores and inventory, you will play a key role in supporting our vehicle fleet, company equipment and operational compliance, helping to ensure our engineers have everything they need to deliver an exceptional service to our customers.

The Role
The Stock Controller is responsible for the efficient day-to-day management of the company's stores, operational equipment, vehicle fleet assets and inventory.
Working closely with Engineers, Suppliers and the Sales, Service and Finance Teams, you will ensure materials, equipment and fleet assets are available, compliant and ready to support the safe and efficient delivery of our services across Scotland.
This is a varied operational role requiring excellent organisation, attention to detail and the ability to manage multiple priorities simultaneously.
Main Responsibilities
Fleet Management
- Maintain accurate records relating to the company's vehicle fleet.
- Coordinate vehicle servicing, MOTs, repairs and routine maintenance.
- Monitor vehicle taxation, insurance and other compliance documentation.
- Arrange repairs with approved suppliers and maintain associated records.
- Manage vehicle accessories including fuel cards, dash cameras, trackers and vehicle keys.
- Prepare company vehicles for allocation to engineers.
- Monitor vehicle condition and report defects requiring attention.
- Assist with fleet administration and vehicle documentation.
Equipment Management
- Maintain an accurate register of all company tools, test equipment and operational assets.
- Issue, recover and record engineer-issued equipment.
- Coordinate equipment servicing, repairs and calibration where required.
- Monitor the condition of company equipment and arrange replacement where necessary.
- Manage PPE stock and issue to employees.
- Assist with procurement of replacement equipment and operational assets.
- Ensure company equipment is available, serviceable and fit for purpose.
Compliance Administration
- Maintain accurate records relating to fleet, equipment and operational compliance.
- Monitor servicing, inspection and calibration schedules.
- Support Health & Safety requirements relating to stores and operational equipment.
- Assist with internal and external audits.
- Produce reports and documentation as required.
- Ensure company asset registers remain accurate and up to date.
Stock Control
- Receive, inspect and accurately book all deliveries into the company stock management system.
- Verify deliveries against purchase orders and supplier documentation.
- Investigate and resolve stock discrepancies.
- Ensure all stock movements are accurately recorded.
- Maintain accurate stock levels at all times.
- Carry out regular cycle counts and assist with annual stocktakes.
- Monitor slow-moving and obsolete stock.
Procurement
- Order day-to-day stock and consumable materials from approved suppliers.
- Maintain agreed minimum stock levels.
- Monitor supplier performance, lead times and product availability.
- Chase overdue deliveries and resolve supplier issues.
- Assist in identifying opportunities to improve purchasing efficiency and reduce costs.
Engineer Support
- Prepare and issue engineer materials in advance of scheduled works.
- Assemble job boxes for installations, maintenance visits and reactive repairs.
- Issue stock to engineers and accurately record transactions.
- Monitor engineer vehicle stock holdings.
- Process returned materials and ensure unused stock is returned to inventory promptly.
Goods Inwards & Returns
- Safely receive and unload deliveries.
- Inspect deliveries for shortages, damage and incorrect items.
- Process supplier returns and warranty items.
- Liaise with suppliers regarding shortages, damaged goods and replacements.
Stores Management
- Maintain a clean, organised and safe stores environment.
- Ensure all stock is correctly labelled and stored.
- Maintain high standards of housekeeping throughout the stores and storage areas.
- Ensure compliance with Health & Safety procedures at all times.
Administration
- Maintain accurate stock records and documentation.
- Produce stock reports when required.
- Assist with operational planning by ensuring materials are available for upcoming works.
- Support continuous improvement of stores procedures and stock management processes.
- Undertake any other duties appropriate to the role.
Essential Skills & Experience
- Previous experience within a Stores, Warehouse, Logistics or Stock Control environment.
- Experience using computerised stock management systems.
- Excellent organisational and planning skills.
- Strong administrative ability.
- Excellent attention to detail.
- Good working knowledge of Microsoft Office, particularly Outlook and Excel.
- Strong communication and interpersonal skills.
- Ability to prioritise workload and manage competing deadlines.
- Good numerical skills.
- Self-motivated with the ability to work independently.
- Strong commitment to Health & Safety.
- Physically capable of manual handling duties.
- Full UK Driving Licence.
Desirable Skills & Experience
- Procurement or purchasing experience.
- Experience managing company fleet administration.
- Experience managing company equipment or operational assets.
- Experience within the Fire & Security, Electrical, Engineering or Construction industries.
- Experience using ERP or business management software.
- Knowledge of inventory control principles and procurement best practice.
- Forklift Truck Licence.
