Group Retreats is a growing hospitality business specialising in exclusive-hire holiday properties across the UK, a curated portfolio of country estates and boutique hotels hosting private celebrations, family gatherings and corporate retreats. The Role
Based in our Support Office in Ipswich and reporting to the Office Supervisor, this is a dual-function role combining bookings coordination with hands-on administrative support for our Directors and Managers. You will guide guest enquiries through to confirmed bookings, keep our reservation and payment records accurate, and provide the day-to-day admin that keeps the office running smoothly. It suits someone organised, personable and comfortable representing a luxury brand.
What You Will Do
- Respond to guest enquiries promptly and professionally, providing bespoke quotes and detailed property information.
- Manage the end-to-end booking process, entering reservations accurately into our management systems and processing payments securely.
- Deliver a high standard of guest service by telephone and email, making sure every requirement is met with care and precision.
- Support Directors and Managers with day-to-day administration, including document preparation, minute-taking and report generation.
Essential
- A high level of literacy in Microsoft Office (Word, Excel and Outlook), and confident with computers generally.
- Exceptional written and verbal communication, with the presence to represent a luxury brand.
- Highly organised, with a keen eye for detail and the ability to juggle priorities in a fast-paced environment.
- A motivated self-starter with a genuine commitment to excellence.
Desirable
- Experience in hospitality, holiday lets, reservations or a customer-facing administrative role.
- Experience with Hostaway or another property management system (PMS).
- Experience with HubSpot or another CRM.
- Experience using generative AI tools and prompt engineering.

The Details
- Full-time, permanent position.
- Office-based in Ipswich. Monday to Friday, 09:00–17:00.
- Weekend rota, some weekend working, shared across the team.
- From £27,000 per annum DOE.
