Overview
We are seeking a professional and friendly Receptionist to join our team at our Barnstaple Branch. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing a variety of administrative tasks. This role requires excellent communication skills, organisational abilities, and proficiency in various office software. Talking customers through any work that is needed to be completed on their vehicle, including costs and estimations .
Responsibilities
- Greet and welcome visitors in a warm and professional manner.
- Answer incoming calls with proper phone etiquette, directing calls to the appropriate personnel.
- Manage appointment scheduling and maintain an organised calendar for staff. .
- Assist with administrative tasks including correspondence preparation and document management using Google Suite.
- Ensure the reception area is tidy and presentable at all times.
- Support other departments with various tasks as required to ensure smooth office operations.
Experience
- Motor industry experience within the Service / Aftersales team or administrative role is preferred.
- Strong computer skills
- Excellent organisational skills with the ability to manage multiple tasks effectively.
- Strong attention to detail and accuracy in data entry tasks.
- Ability to communicate clearly and professionally both verbally and in writing.
- A proactive attitude with a willingness to learn new skills and adapt to changing environments.

Duties
- Greet customers warmly upon arrival, assess their service needs, and provide clear information about vehicle repairs and maintenance
- Schedule service appointments efficiently, balancing customer priorities with workshop capacity
- Act as the primary liaison between customers and technicians, communicating repair progress and additional work required
- Oversee workshop workflow, ensuring timely completion of repairs and adherence to quality standards
- Use mechanical knowledge to assist with basic diagnostics or troubleshooting when necessary
- Maintain detailed records of service orders, parts used, and vehicle histories
- Ensure the workshop is organized, tools are properly stored, and safety protocols are followed at all times
Experience
- Proven experience in a customer-facing role within an automotive or mechanical environment
- Strong mechanical knowledge with familiarity of hand tools and power tools used in vehicle maintenance and repair
- Excellent communication skills to clearly explain technical information to customers
- Ability to multitask effectively in a fast-paced setting while maintaining attention to detail
- Basic understanding of workshop operations, scheduling systems, and repair processes is preferred
- Hands-on experience with vehicle diagnostics or troubleshooting is a plus but not mandatory
