Summary
This dual-focused role combines facilities management and events coordination. No two days will be the same so willingness to be flexible and evolve the role over time is key.
You will coordinate the daily operational needs of Bothwell Futures premises (Community Hub and Community Hall), including the creation and delivery of attractive and vibrant events.
The Facilities and Events Officer ensures the Community Hub and Community Hall operate smoothly, delivering welcoming and well-organised premises and events. Working closely with colleagues, volunteers, hirers and tenants, you will ensure the Community Hub and Community Hall are clean, safe, fun and inclusive centres of community activity.
Our assets are so much more than bricks and mortar, they are our doorway into the Bothwell community. In this role you will be expected to seek out opportunities to adapt our spaces to encourage greater community usage and generate additional income.
The Facilities and Events Officer reports directly to a designated Bothwell Futures Trustee.
Main Duties & Responsibilities
Operations & Facilities
- Oversee the daily operation of the Community Hub and Community Hall, ensuring they are clean, secure, and fit for purpose.
- Maintain and monitor routine inspection schedules for plant, fire safety equipment, mechanical and electrical systems (including PAT testing).
- Maintain building security, including acting as a Bothwell Futures key holder, complying with opening/closing procedures and coordinating emergency callouts.
- Manage inventory of office supplies, cleaning materials and other relevant resources.
- Supervise on site contractors, ensuring work is completed to specification.
- Monitor cleaning, safety, and maintenance schedules.
- Ensure compliance with statutory and best-practice Health & Safety requirements.
Operations & Facilities
- Handle venue hire enquiries and manage the booking diary.
- Prepare room layouts to suit customer requirements and coordinate access/ welcome arrangements for those hiring Community Hub and Community Hall spaces.
- Working closely with Bothwell Futures’ Commercial Manager and Trustees, design and schedule a diverse calendar of seasonal activities and functions.
- Promote upcoming events via local notice boards, web sites and social media channels.
Teamwork & Communication
- Maintain excellent working relationships with Bothwell Futures staff, volunteers, tenants and hirers.
- Build positive relationships with the wider community, including residents, clubs and business partners.
- Provide cover for operational tasks during staff absence, holidays, or peak periods.
- Promote a positive, respectful, and inclusive environment for visitors.
- Represent Bothwell Futures professionally in all engagement activities.
- Work collaboratively across teams, taking a solutions focused approach, showing flexibility and support where needed.
- Attend and participate in training, team meetings, and support/supervision sessions.
Health & Safety
- Adhere to all company policy, procedures and all duties under legislation and best practice.
- Maintain a safe working environment, reporting any concerns or defects
- Keep work area clean, tidy, well organised and free of hazards.
Essential Skills & Experience
- Excellent verbal and written communication skills.
- Strong IT skills, particularly Microsoft 365.
- Ability to work both independently and collaboratively across multiple stakeholders - local government, funders, health & education, traders and volunteers.
- Excellent attention to detail and organisational skills.
- Willingness to work a flexible schedule, including evenings and weekends, aligned with hire times.
Desired Skills
- Ability to maximise commercial value from owned assets
- Assessing asset risks and taking preventative actions.
- Caretaking/ site management.
- Experience working with & managing volunteers.

Pay: From £30,000.00 per year
