Job Summary
We are seeking an experienced and highly organised Personal Assistant to provide comprehensive support to members of our Executive Leadership Team, including the Chief Executive Officer (CEO) and Chief Financial Officer (CFO).
This role is ideal for a professional who thrives in a fast-paced environment and enjoys managing a wide range of responsibilities. You will act as a trusted partner to senior executives, ensuring effective coordination of schedules, communications, travel arrangements, and key business activities while maintaining the highest levels of discretion and professionalism.
Responsibilities
- Manage complex diaries, appointments, and meeting schedules for executive leaders.
- Coordinate and prioritise meetings to maximise the effective use of executive time.
- Manage incoming emails, telephone calls, and correspondence on behalf of executives.
- Arrange domestic and international travel, accommodation, and detailed itineraries.
- Prepare, draft, format, and proofread reports, presentations, correspondence, and business documents.
- Maintain accurate filing systems, records, and confidential documentation.
- Organise meetings, prepare agendas and supporting papers, take minutes when required, and distribute actions.
- Act as a key point of contact between executives and internal and external stakeholders.
- Process expenses, invoices, and purchase orders in a timely manner.
- Support the planning and coordination of company events, workshops, and business functions.
- Handle highly confidential and sensitive information with discretion and professionalism.
- Undertake additional duties as reasonably requested to support the business and executive team.
Experience
- Previous experience as a Personal Assistant or Executive Assistant supporting senior executives or directors.
- Exceptional organisational skills with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills, including drafting and enhancing executive communications.
- Proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
- Excellent attention to detail and strong numerical confidence.
- Experience handling confidential information with professionalism and discretion.
- Ability to work independently and proactively within a busy and evolving environment.
- Strong stakeholder management and relationship-building skills.
- Flexible and adaptable approach to work.
- Willingness to occasionally work outside normal office hours to support executives working across international time zones.
