Role Purpose
We're looking for a sharp, organised professional who is self-motivated and has experience of maintaining and governance of Document Management Systems (DMS). Keeping our management systems audit-ready, our people compliantly trained and our information where it needs to be.
This is a role at the heart of our compliance operation. You'll own document control, drive the internal audit schedule across three ISO standards and make sure training records never fall behind. Working closely with project teams, HR, IT and senior management, you'll be the person who keeps the whole function running smoothly and confidently.
Key Responsibilities:
Leadership and Governance
- Provide governance, guidance and direction to Muir Group users, monitoring performance against KPIs.
Document Control and Information Management (Microsoft 365 / SharePoint)
- Own SharePoint structure, naming standards, versioning and Power Automate approval flows.
Audit and Compliance
- Lead the internal audit schedule (ISO 9001, 14001, 45001) and coordinate external certification visits.
Training and Capability
- Manage training matrices, procure courses and coordinate the apprenticeship scheme.
Operations and Reporting
- Produce concise monthly reports and dashboards for directors with clear trends and actions.
- Support PQQ and tender responses with accurate, up-to-date evidence from the management system.
Stakeholder and Vendor Management
- Act as the point of contact for auditors, insurers, certifiers and training providers.
- Build cooperative relationships with project teams, HR and IT to resolve issues quickly.
Key Performance Indicators
- On-time completion of internal audits and action close-out (%).
- Accuracy of document metadata and permissions (spot check pass rate).
- Training compliance (mandatory training in date %).
- External audit nonconformities (number and time to close).
Experience required:
- Proven experience in an administration function in a compliance or regulated environment.
- Advanced Microsoft 365 skills, including SharePoint Online administration, metadata, permissions and retention labels.
- Strong understanding of ISO 9001, 14001 and 45001 and how they translate into practical day-to-day controls.
- Confident building and maintaining Power Automate flows for approvals and notifications.
- Calm, accurate and organised; you set high standards and follow through on actions.
- Clear communicator, equally comfortable briefing directors and coaching colleagues.
Qualifications
- Internal auditor qualification covering ISO 9001, 14001 and 45001.
- Relevant administration or management qualification desirable.
- Microsoft 365 / SharePoint (certification or portfolio) evidence desirable.
- Full, valid UK driving licence.
