Purpose
The Project Manager is responsible for leading and delivering projects on behalf of the Xerox while operating within a client’s environment. The role ensures successful project execution by aligning delivery with both client expectations and organisational objectives. Acting as a key interface between the client and internal teams, the Project Manager manages resources, timelines, risks, and stakeholder relationships to deliver high-quality outcomes.
Working within the client’s environment, the role requires strong collaboration, adaptability, and relationship management to integrate seamlessly with client processes and culture. The client has multiple building moves and renovations across EMEA, with this role leading the organisation of Xerox equipment moves, installs and disposals, liaising with local resource to ensure seamless transitions.
The Project Manager ensures clear communication, maintains governance standards, and drives project success while upholding service excellence and strengthening the client partnership.
Role Overview
A Project Manager is responsible for planning, executing, and delivering projects on time, within scope, and within budget. They coordinate teams, manage resources, and ensure that project objectives align with business goals.
Project Coordination & Communication
- Act as primary liaison between Xerox, construction teams, and client stakeholders throughout the project lifecycle.
- Attend regular project meetings to track progress, address risks, and align on construction, network readiness, and installation activities (typically beginning ~4 to 6 weeks prior to implementation).
- Ensure timely communication and escalation of changes impacting device deployment.
- Distribute finalized device floor plans and supporting materials to stakeholders upon request.
Design & Planning
- Develop and provide Xerox device specifications to support furniture and floor plan design criteria.
- Collaborate with Morgan Stanley construction project managers, assigned Morgan Stanley architects, and branch stakeholders to determine optimal device placement.
- Participate in design reviews and provide recommendations on floor plan revisions impacting device locations.
Implementation Readiness
- Monitor and validate completion of site readiness requirements, including power, data, and network infrastructure for device locations.
- Proactively follow up on readiness confirmations and escalate unresolved items per defined escalation paths.
- Obtain network configuration details (e.g., subnet/whitelisting requirements) to enable device readiness for deployment.
- Coordinate with creative services to produce end-user-friendly floor plans and distribute final versions to branch stakeholders
Deployment & Installation
- Plan and coordinate device deployment with operations managers, remote technicians, vendors, and local IT teams.
- Oversee onsite device placement, ensuring alignment with approved floor plans and logistics coordination.
- Support device setup, connectivity validation, and configuration (including MYPRINT Manager integration).
- Provide post-installation confirmation to business units and obtain validation that devices are fully operational.
Documentation & Reporting
- Maintain accurate project documentation, including device inventories (serial numbers, models, naming conventions) and deployment records for XSM.
- Track and report on project milestones, readiness status, and deployment outcomes for internal Xerox meeting & client weekly status meeting.
