Overall Purpose
The Corporate Receptionist will be part of a team of 3 reporting to the Front of House Team Leader and working with another receptionist. While this role is primarily assigned to the secondary reception desk dedicated to one of the influential occupiers of the building, the receptionist will also be supporting and work the main desk on daily basis.
This building is a high-profile corporate site which requires a receptionist who has exceptional customer service, engaging and with the ability to recognise repeat visitors, is eager to create a friendly yet professional relationship with occupiers, who works well as part of a team and has a flexible and willing attitude.
Your responsibilities will include supporting the Team Leader, always demonstrating a one-team approach and deliver above and beyond expectations. It is essential your timekeeping and attendance are exemplary.
Duties and Responsibilities – this list of responsibilities is not exhaustive
- To take full ownership and accountability of the reception and all associated areas, making sure that they are kept in the best possible order at all times, liaising with cleaners, facilities, security and other departments as deemed necessary.
- Ensure the St James folder, manual, occupiers procedures, phone database are up to date. Delivering of monthly reports and appropriate FOH data as and when required.
- First point of contact for all guests, visitors, occupiers and clients to the building, as outlined in the St James Guide. Dealing with all questions and queries.
- Being responsible for meeting and greeting of all guests and visitors into the building and providing them with exceptional service. Standing to greet as a basic standard.
- Signing in all visitors in accordance to the building’s security protocol and report any suspicious behaviour to the security team
- To receive/answer calls promptly and efficiently, identifying the callers’ requirements and transferring calls as appropriate.
- Dealing with fault reporting within the building by raising a helpdesk to the relevant contractor
- Manage difficult calls and/or distressed callers’ in a calm and professional manner.
- Where appropriate, reporting of accidents or incidents.
- Ensure the reception area is kept organised, clean and tidy at all times.
- Stand to greet all visitors to the building.
- To prepare monthly newsletter and event poster for the client
- To demonstrate a clear awareness of the building’s environmental policy
- Adhering to St James policies and procedures, code of conduct and to be fully conversant with the emergency procedures in relation to Health & Safety issues.
- Any other duties as deemed necessary to support the client, customer, colleagues and St James.
Knowledge and Skills:
- Previous experience in delivering exceptional customer service essential
- Excellent command of the English language, both verbal and written
- Experience of using Microsoft Office, PowerPoint, Excel and Canva
- Exceptional interpersonal skills, flexible to work with a range of styles and personalities and according to business demands.
