About the Role
We are seeking an accurate and organised Mail Data Administrator to enter shipment information, update mail records, process delivery documents, and support daily administrative activities.
You will maintain digital records, review information for accuracy, update tracking details, and help ensure that letters, parcels, and documents are processed correctly.
Previous data-entry or mailroom experience is helpful but not essential. Training on company systems, tracking procedures, document handling, and information-security requirements will be provided.

Key Responsibilities
- Enter incoming and outgoing mail information into company systems
- Update parcel, shipment, and delivery records
- Record customer names, addresses, reference numbers, and tracking details
- Review entered information for accuracy and completeness
- Correct basic data errors using approved procedures
- Prepare and update mail-processing spreadsheets
- Scan, name, and organise delivery documents
- Maintain accurate dispatch and proof-of-delivery records
- Monitor outstanding parcels and update their delivery status
- Process returned, delayed, and incorrectly addressed items
- Check shipping labels and recipient information
- Respond to routine internal requests for tracking information
- Retrieve authorised mail and delivery records
- Report missing, damaged, or duplicate records
- Organise digital files using established filing procedures
- Handle confidential customer and business information securely
- Support routine mail-processing and dispatch activities
- Assist with general administrative duties when required
What We Are Looking For
Experience
- Previous experience in data entry, administration, customer service, retail, warehouse support, or office work is helpful but not essential
- Applications from school leavers, career starters, and candidates changing industries are welcome
- Previous mailroom, parcel, courier, or logistics experience is beneficial but not required
Skills
- Strong attention to detail and accuracy
- Good computer and keyboard skills
- Comfortable using email, Microsoft Word, and spreadsheets
- Ability to enter information accurately and consistently
- Good organisation and time-management abilities
- Ability to follow written procedures and instructions
- Willingness to learn mail and tracking systems

Education
- GCSEs or equivalent qualifications are preferred
- A university degree is not required
- Relevant administrative, practical, volunteer, or customer-service experience will be considered
Pay: £25,420.00-£27,500.00 per year
